Work Schedule: 40 hours per week, Monday to Friday, with on-site presence required in NYC or SF office on anchor days (M/T/Thurs).
Compensation: $55.00 to $55.55 per hour
Position Summary:
We are seeking a detail-oriented and highly organized Event Operations Contractor to manage the seamless execution of a variety of events, including large-scale tentpole moments, recurring series, community-led initiatives, and evergreen programs. This role involves coordinating logistics, managing vendors, overseeing budgets, and ensuring every event meets our standards for quality and community engagement. Key Responsibilities:
- Oversee end-to-end event logistics, including venue arrangements, vendor coordination, and on-site execution, with flexibility to work evenings and weekends as needed.
- Develop and maintain systems, trackers, timelines, and SOPs to streamline repeatable event formats, ensuring efficiency and quality control.
- Manage budgets, purchase orders, invoices, and reconciliations (Ramp, Zip), supporting accurate spend tracking against the experiential budget.
- Coordinate procurement and fulfillment of swag and materials through platforms like SwagUp.
- Support community co-hosts, partners, and agency teams to facilitate smooth programming and attendee experiences.
- Measure event success through post-event analysis, including attendance metrics, sentiment analysis, and community impact, to inform future improvements.
- Maintain clear and detailed documentation in Notion or comparable tools to support ongoing and future event planning.
- Build relationships with vendors and manage contract processes, demonstrating budgeting and vendor management expertise.
- Prepare and stay ready for on-site event execution, ensuring a welcoming environment for attendees and team members.
- Utilize AI tools to enhance workflow efficiency, generate reports, and improve system processes.
Required Qualifications:
- Proven experience in managing event logistics from conception to execution, preferably in a dynamic, community-focused environment.
- Exceptional organizational skills with an ability to juggle multiple events and deadlines simultaneously.
- Strong written and verbal communication skills.
- Experience managing budgets, POs, invoices, and vendor relationships using tools like Ramp, Zip, or similar platforms.
- Comfortable working on-site, including evenings and weekends, with a flexible approach to travel.
- Familiarity with collaboration tools such as Notion, Slack, and event management software.
- Ability to adapt quickly, stay calm under pressure, and handle ambiguity effectively.
- AI-savvy mindset and interest in integrating new technologies into workflows.
Preferred Skills & Experience:
- Experience in large-scale event planning, multi-day festivals, or multi-city activations.
- Hands-on experience with Notion databases, trackers, or documentation systems.
- Prior experience managing swag and promotional materials.
- Familiarity with event-related platforms like SwagUp, Ramp, and Zip.
- Exceptional interpersonal skills, with the ability to create a warm and professional atmosphere during live events.
