Responsibilities
- Oversee daily office operations, including front desk management, multi-line phone systems, and general administrative support
- Coordinate scheduling and calendar management for executives and teams to optimize productivity
- Manage vendor relationships, including negotiating contracts, overseeing service delivery, and maintaining supplier records
- Supervise administrative staff, providing training and development opportunities to foster a high-performing team
- Organize company events, meetings, and training sessions to promote team engagement and professional growth
- Handle bookkeeping tasks such as invoicing, expense tracking, payroll processing using QuickBooks or similar software, and budgeting oversight
- Maintain accurate filing systems, medical or general office records, and ensure compliance with organizational policies
Qualifications
- Proven experience in office management or administrative roles with supervisory responsibilities
- Strong proficiency in QuickBooks for bookkeeping and payroll processing
- Excellent communication skills with the ability to handle phone etiquette professionally
- Demonstrated organizational skills with experience in schedule management and calendar coordination
- Knowledge of human resources practices including onboarding, training & development, and employee relations
- Experience managing vendor relationships and negotiating contracts effectively
- Background in medical office management or similar environments is a plus
- Familiarity with multi-line phone systems, filing systems, and front desk operations
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
