RECEPTIONIST JOB DESCRIPTION
PREGNANCY HELP CENTER OF GALVESTON
JOB TITLE: Receptionist
SUPERVISOR: Administrative Manager
CLASSIFICATION: Non-Exempt
HOURS: This position requires employees to work Monday through Wednesday 8 am - 4 pm, Thursday 8 am - 8 pm, and Fridays from 8 am - 12 pm
GENERAL SUMMARY AND OBJECTIVES
The receptionist performs clerical tasks in support of the Pregnancy Help Center of Galveston’s (PHCG) mission. The receptionist acts as the “first impression” greeting clients and answering the phone in a professional and respectful manner. The receptionist presents the PHCG as a life-affirming organization qualified and desiring to serve the caller/visitor in a caring and respectful manner.
RESPONSIBILITIES
· Answers all center calls and connects the caller to the proper individual in a timely fashion. Answers the phone and greets all center guests, including clients, in a professional, friendly tone that conveys the caring and serving attitude of the ministry.
· Provides clients with appropriate paperwork and informs appropriate staff of appointment arrivals.
· Maintains confidentiality of client conversations outside of the center and understands HIPAA policy.
· Receives material and monetary donations and provides tax receipts as appropriate and in compliance with pertinent policy and IRS guidelines. Provides appropriate ministry information and/or tour of facility as appropriate.
· Receives and distributes mail, including faxes and emails.
· Maintains knowledge and understanding of programs and personnel connected with each program.
· Maintains a schedule of and be knowledgeable about upcoming events connected with the PHCG. Provides this information to callers and visitors as appropriate.
· Assists staff and volunteers with daily tasks as requested by the supervisor. Tasks may include recording information, copying and assembling materials, sorting materials, filing and placing phone calls. Basic word processing and data entry may be required.
· Performs special projects or tasks as assigned by supervisor.
· Executes all responsibilities in a manner that supports the center’s mission and promotes an office environment/culture of Christian servant hood and conciliation.
· Other duties as assigned.
SUPERVISION/DIRECTION (Received/Exercised)
Work is performed independently with periodic review. Employee organizes work and sets priorities based on schedule and office priorities established by supervisor. Supervisor regularly reviews non-routine work and periodically reviews routine work.
QUALIFICATIONS
· Expresses full agreement with Clinic’s Statement of Faith, Mission Statement and Code of Christian Conduct and demonstrates this in the execution of position responsibilities.
· Is dependable, stable, and capable of committing to this position’s responsibilities and duties.
· Expresses a desire to reach at-risk patients considering abortion.
· Believes in the sanctity of all human life from the moment of conception through natural death.
· Exhibits strong interpersonal, spiritual, and administrative skills, takes initiative, and is flexible.
· Professional and pleasant business oral communication skills, including a pleasant and respectful tone of voice both in person and on the phone. Good listening skills, written communication skills, and calm discernment.
· Ability to multi-task in busy environment.
· Willingness and ability to learn more about the PHCG ministries and programs to better serve the clients and callers needing information.
· Willingness and ability to abide by the office policies.
· Willingness and ability to serve clients and other PHCG constituencies (including other staff, donors, vendors, etc.) in a way that honors Jesus Christ and supports and promotes the PHCG life-affirming ministry.
· Willingness and ability to share the gospel of Jesus Christ by word and example, including prayer, to encourage clients, staff, and other PHCG constituencies, and to contribute to an office environment conducive to supporting the PHCG ministry of life.
· High school graduation or GED strongly preferred.
· Experience and/or training as receptionist or in other office skills strongly preferred.
· Basic word processing/data entry skills, including accurate typing speed of 30 words per minute preferred. Working knowledge of Microsoft Word and Outlook preferred.
