Job Summary and Mission
This job contributes to Preferred Service success by scheduling all crews to maintain each customer account in keeping with their contract agreement & ensure customer support and immediate response is readily available.
The job of Project Coordinator is a position that requires the individual to be present during the hours of 8:00am to 5:00pm. The normal rate of pay is negotiable and determined based on experience, length, and quality of service.
The incumbent is responsible for modeling and acting in accordance with Preferred Service guiding principles.
Summary of Key Responsibilities
Responsibilities and essential job functions include but are not limited to the following:
- Acts with integrity, honesty and knowledge.
- Maintains a calm demeanor during periods of high volume or unusual events to ensure standards are met and set a positive example.
- Follows Preferred Service, LLC policies and procedures, including those which apply to scheduling service, contractor payment, and reporting issues.
- Maintains a clean and organized workspace and electronic filing system so that authorized parties can locate resources as needed.
- Maintains regular and consistent attendance and punctuality.
- Organizes duties as assigned by the appropriate level of priority.
- Contributes to successful operations by recognizing alarms or issues and communicating them to the necessary parties.
- Communicates clearly, concisely, and accurately in order to ensure effective operations.
- Follows up with each store after a service to ensure that the customer is satisfied and that the technicians are adhering to their contracted duties.
- Develops and maintains positive relationships with contractors, employees, and customers by understanding and addressing individual needs and concerns.
- Ensures that all daily service contractors, wet work contractors, area supervisors and store managers are aware of scheduled jobs and cancellations with as much time as possible to prepare.
- Ensure that all pressure washing contractors are aware of any necessary service and that all service is completed within the contracted time frame.
- Provides a reminder to the store manager no less than 24 hours before the scheduled service to ensure they are prepared.
Administrative –
- Compile and send all necessary wet work and pressure washing reports.
- Maintain accurate records of service dates in order to ensure that pressure washing, and wet work are completed in the contracted time periods.
- Keep detailed records of all communications involved in the scheduling process including but not limited to dates and times calls are made and received, given to contractors, completed, notes to contractors for special requests or details and all exceptions to the normal process.
- Ensure that the schedule for each month is completed by the 20th day of the previous month and distributed to the necessary parties by the end of the first business day following the 20th.
Such other acts, responsibility, authority, or other things as are or may be necessary to fulfill the overall purpose of the job.
