POSITION SUMMARY
We're looking for a highly organized and proactive Admin & Sales Support Specialist to join our Ashland office on a part-time basis. This role is the operational backbone of our sales team - keeping leads organized, orders moving, and customers well-served. You'll work closely with the CEO, Chief Scientific Officer, and sales staff on a daily basis, reporting to the VP of Sales. This is a part-time role with a genuine path to full-time for the right person. RESPONSIBILITIES
Core (your primary focus)
- Review and filter incoming leads
- Process orders and manage e-store orders and invoices
- Initiate the repair process; unpack, inspect, and clean returned and repaired equipment
- Answer and direct incoming calls on company phone lines
- Monitor and follow up on overdue customer invoices
Office & Administration
- Process and pay company purchases
Tradeshow & Event Logistics (as needed, seasonal)
- Inventory and organize exhibit materials
- Coordinate tradeshow logistics - lead-scanning app setup, materials handling, electricity orders, and related details
- Book travel accommodations
- Attend tradeshows on-site to support the team as needed (occasional seasonal travel)
QUALITIES WE'RE LOOKING FOR
- Highly organized with excellent attention to detail and the ability to juggle multiple priorities
- Proactive and self-motivated - you don't wait to be told what needs doing
- Strong written and verbal communication skills for interacting with customers and internal team members
- Comfortable working independently in a small office environment
- Friendly, professional, and reliable
REQUIREMENTS
- Previous experience in an administrative, sales support, or operations role preferred
- Comfortable with basic business software (email, spreadsheets, order management systems)
- Experience with CRM tools (e.g., Streak, Salesforce, HubSpot) a plus
- Comfort with QuickBooks and basic accounts-payable / accounts-receivable tasks a plus
- Ability to reliably commute to our Ashland, MA office
- Science or laboratory background is not required but is a bonus
PHYSICAL REQUIREMENTS
- Ability to occasionally lift and move materials and equipment (up to 25 lbs) and perform light hands-on tasks such as unpacking and cleaning returned instruments. Reasonable accommodations will be made to enable individuals with disabilities to perform the essential functions of the role.
COMPENSATION & HOURS
- Part-time, approximately 20-25 hours/week, with flexible scheduling
- $22-30/hour, commensurate with experience
