- Answer and direct phone calls; greet visitors professionally
- Schedule and coordinate meetings, appointments, and travel arrangements
- Prepare, proofread, and distribute documents, reports, and presentations
- Maintain electronic and physical filing systems; handle confidential documents
- Manage office supplies inventory and place orders as needed
- Process expense reports and invoices; assist with basic bookkeeping
- Organize and assist with event planning and coordination
- Serve as a point of contact for internal and external inquiries
- Ensure operational readiness of office equipment and troubleshoot issues
- Liaison for Japanese clients, potential clients, and business-related inquiries conducted in Japanese.
- Provide administrative support to tax professionals for Japanese clients, including managing calendars, scheduling appointments, and coordinating meetings
- Assemble tax return and processing in Japanese, including organizing client documents, preparing engagement letters, and tracking filing deadlines
- Organize, scan, and process tax-related paperwork efficiently
- Perform electronic document scanning and ensure proper archiving
- Manage the scan and workflow process for client documents used by tax prepares
- Greet clients and review tax documents from clients who visit the office and drop off documents in Japanese
- Update CCH Axcess tax projects to ensure a streamlined process for the team
- Maintain electronic and physical filing systems to ensure accurate and timely documentation of client records and correspondence in Japanese
- Respond to clients inquiries and requests in a professional and timely manner, both in person and via phone or e-mail in Japanese.
- Collaborate with team members to ensure smooth workflow and efficient completion of tasks
- Assist with special projects and other administrative duties as assigned by the team
- Process all certified and FedEx mailings to clients regarding tax documents
- Assist with billing, collection, IT internally and for Japanese clients
- Minimum Education Requirement- Bachelor's Degree preferred
- 2 years of experience in administrative support or similar role preferred
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational, communication, and interpersonal skills
