What are the responsibilities and job description for the Office Coordinator position at ppcpartners?
The Office Coordinator will be responsible for maintaining
efficient support throughout the Janesville, WI office while providing customer
service and administrative support to Branch 61.
Work closely with Branch Supervisor, department managers, office staff, support functions and field employees. Collaborate with all to reach branch and department goals, needs and objectives. Responsible for ensuring the overall office is maintained in a professional, appropriate, and safe manner.
Responsibilities:
Provide any administrative support needed to streamline business operation processes.
Manage phones for department – appropriately direct phone calls & walk-in traffic.
Synchronize communication between customers, supervisors, field employees, and vendors.
Ensure proper functionality of all office equipment, attempt to troubleshoot, update and contact vendor for resolving issues.
Schedule/organize functions i.e. Inter-Branch Meetings, Monthly Branch Meetings, Safety Meetings, Party Planning, and Community Events. Coordinate all needs for on-site events.
Work with outside social media administrator to provide support and needs for social media presence including content and coordinating event opportunities.
Assist the Branch Manager, Supervisor and Project Managers with other project-level assignments.
Represent Pieper at community events as well as provide information to managers on community and business networking, education, charity and social events.
Assist in the new hire/rehire and termination processes for field and office employees. Verify that HR receives all necessary materials, and all necessary steps are followed.
Provide HR administrative support as requested/needed.
Maintain required records for supervisor, department, and/or branch. Maintain and set up filing systems & keep office organized.
Submit invoices to customers and/or facilities for their remittance .Follow up to ensure prompt payment. Correct problem invoices.
Obtain safety training as expected by all company personnel.
Keep common areas & reception areas neat and professional.
