Core Objectives of the Role
- Convert inbound inquiries into multi-service, recurring clients
- Maximize schedule density and revenue per client
- Ensure accurate tracking, follow-up, and reporting
- Protect and elevate the Patriot’s Pet Care brand experience
- Support scalable systems as PPC expands services and locations
Key ResponsibilitiesSales & Revenue Generation
- Respond to all inbound inquiries (phone, email, web, walk-in) with professionalism and urgency
- Educate pet parents on PPC services (boarding, daycare, grooming, training, transportation, specialty programs)
- Confidently recommend bundled services, upgrades, and recurring plans
- Convert first-time inquiries into long-term clients through consultative sales
- Support promotional campaigns, seasonal offers, and loyalty programs
- Track conversion rates and identify opportunities to increase close ratios
Scheduling & Capacity Optimization
- Manage daily, weekly, and long-term scheduling across multiple services
- Optimize appointment flow to maximize staff utilization and facility capacity
- Anticipate high-volume periods and proactively adjust schedules
- Coordinate with grooming, daycare, training, and transportation teams
- Ensure accuracy of bookings, drop-offs, pick-ups, and service notes
- Reduce gaps, no-shows, and inefficiencies through proactive confirmation and follow-up
Customer Experience & Relationship Management
- Serve as a trusted point of contact for pet parents
- Maintain calm, professional communication in high-emotion situations
- Resolve scheduling issues, concerns, and service adjustments quickly
- Ensure every client interaction reflects PPC’s values and standards
- Encourage reviews, referrals, and repeat business
- Uphold confidentiality and professionalism at all times
Systems, Tracking & Data Management
- Accurately enter and maintain client, pet, and service data
- Utilize pet care management software (e.g., Gingr or similar platforms)
- Track inquiries, bookings, cancellations, and follow-ups
- Maintain clean records to support reporting, billing, and audits
- Assist leadership with data insights related to utilization and demand
- Follow SOPs for documentation, compliance, and internal communication
Team & Growth Support
- Collaborate closely with operations, grooming, training, and management
- Support onboarding of new services, programs, and systems
- Assist with community events, promotions, and special initiatives
- Demonstrate flexibility during peak periods and growth phases
- Contribute ideas to improve efficiency, sales, and client satisfaction
