The Role
Reporting to the Accounts Receivable Manager, the Accounts Receivable Specialist is responsible for managing the full Accounts Receivable cycle, including cash application, collections, customer account maintenance, account reconciliation, lien administration, and customer service. This position works closely with customers and internal departments to maximize cash flow while maintaining positive business relationships.
Key Responsibilities include the following:
- Manage an assigned portfolio of customer accounts and perform collection activities by phone, email, and written correspondence.
- Post and apply customer payments (checks, ACH, wires, EFT, cash, and credit cards) and perform daily cash reconciliation.
- Reconcile customer accounts, research payment discrepancies, and resolve billing disputes with internal departments.
- Maintain accurate records of customer interactions, payment commitments, and collection activities.
- Prepare and process lien releases and assist with Preliminary Notices, Stop Notices, and Bond Claims as needed.
- Set up and maintain customer accounts, including tax exemption and resale certificates.
- Generate and distribute monthly customer statements and assist customers with payment portals, invoices, and account inquiries.
- Collaborate with Sales, Service, Project Management, and Accounting to resolve customer issues and improve collection performance.
- Participate in process improvement initiatives and perform other duties as assigned.
Required Skills and Experience
- 5 years of Accounts Receivable and commercial collections experience.
- Experience with Microsoft Great Plains, Priority ERP, or similar systems.
- Knowledge of Multistate lien laws, stop notices, and bond claims.
- Experience in construction, industrial, or service-related industries.
- Demonstrates initiative and strong analytical skills by researching issues from multiple sources, evaluating alternative solutions, and collaborating across departments to achieve accurate and timely resolutions.
- Experience with cash applications, account reconciliation, and customer collections.
- Strong customer service, communication, organizational, and problem-solving skills.
- Proficiency in Microsoft Excel, Word and ERP/accounting systems.
- Ability to manage multiple priorities in a fast-paced environment.
- Keen analytic, organizational and has problem-solving skills.
