P&CG provides a variety of commercial construction services to support our clients, primarily in the utility industry. Our Valley Sand & Gravel organization provides a variety of solutions to support construction projects and safe roads around the region.
Job Summary
This important role provides administrative support and weighmaster services for aggregate plant, including, but not limited to project labor and materials tracking, billing support, timesheet entry, and other tasks as needed.
Essential Functions
- Support the daily operations of Valley Sand & Gravel
- Weigh trucks in and out, verify DOT documents.
- Enter weekly timesheets for approval, scan Daily Job Briefs and file accordingly.
- Dispatch drivers and coordinate with customers for delivery of product. Provide purchase orders when necessary.
- Work with the Controller’s office to set up new accounts, obtain necessary paperwork and enter into the AWS system.
- Set up new jobs in the AWS system.
- Provide gradations and sales quotes to customers when requested by the Vice President and Salesman.
- Process daily invoices and reports, do credit memos and rebills when necessary.
- Answer and redirect phone calls to appropriate individuals.
- Prepare Excel based pricing for annual review and disbursement.
- Process cash log and unique tickets when necessary.
- Process payments for cash accounts and payments for review with Accounts Receivable.
- Maintain all spreadsheets for customer jobs, employee training, etc.
- Do quarterly reports, maintain and update training requirements for MSHA.
- Make travel and hotel arrangements for Vice President when necessary and submit expense reports for reimbursement.
- Maintain electronic and hard copy filing systems and customer account information.
Education & Experience
- Experience with light accounting duties
- Experience working under high pressure while successfully multi-tasking
- Experience working with Excel

- Ability to manage priorities and multitask
- Ability to work independently
- Proficient in Microsoft Outlook, Word & Excel

- Valid NYS Driver’s License

- Assertive, but nice personality; able to manage daily truck traffic, scheduling, and customers.
- Ability to obtain a Weighmasters License with on-the-job training
- Ability to learn and understand specialized software (SharePoint, AWS, Timberline)
Hours
- Winter 7:00am-3:00pm
- Spring-Fall: 6:30am-3:30pm
