Marketing and Community Relations Coordinator
Position Type: Full-Time
Work Schedule: Three days per week in the office and two days per week in the community
Reports To: Director of Business Operations
Position Summary
The Marketing and Community Relations Coordinator is responsible for increasing awareness of the agency’s behavioral health services, strengthening relationships with referral partners, and supporting the growth of community-based referrals.
This position tracks and analyzes incoming referrals, identifies the agency’s strongest referral sources, and develops outreach strategies for referral partners who may benefit from additional education and relationship-building. The coordinator represents the agency throughout the community by attending events, presenting at organizational meetings, and providing information about available mental health services.
The ideal candidate is organized, outgoing, comfortable with public speaking, and passionate about connecting individuals and families with behavioral health resources.
Essential Duties and Responsibilities
Referral Tracking and Relationship Development
- Track incoming referrals accurately and consistently, including referral source, service requested, date received, and referral outcome.
- Monitor referral patterns and identify the agency’s most active and productive referral sources.
- Identify organizations and referral partners that require additional outreach, education, or relationship-building.
- Prepare regular reports summarizing referral trends, outreach activities, and opportunities for growth.
- Maintain an organized and current database of referral partners and community contacts.
- Follow up with referral sources to provide information, answer questions, and strengthen professional relationships.
- Collaborate with intake, clinical, and leadership teams to understand service availability and referral needs.
Community Outreach and Relations
- Represent the agency at community events, health fairs, networking events, conferences, and other outreach opportunities.
- Build and maintain relationships with schools, healthcare providers, hospitals, social service agencies, nonprofit organizations, government agencies, and other community partners.
- Schedule and conduct visits with current and prospective referral partners.
- Present information about the agency’s programs and services at organizational meetings and community gatherings.
- Provide educational materials and clear guidance regarding the agency’s services, eligibility requirements, and referral process.
- Identify new community partnerships and outreach opportunities.
- Maintain professional and timely communication with community partners.
Marketing and Agency Promotion
- Assist with developing and distributing brochures, flyers, presentations, newsletters, social media content, and other marketing materials.
- Ensure that information shared with the community is accurate, professional, accessible, and consistent with the agency’s mission and brand.
- Collaborate with leadership to develop outreach campaigns that support agency programs and community needs.
- Help promote agency events, programs, service expansions, and community initiatives.
- Collect feedback from community partners to help improve outreach and referral processes.
Administrative and Compliance Responsibilities
- Maintain documentation of outreach visits, presentations, events, contacts, and follow-up activities.
- Protect confidential and sensitive information in accordance with HIPAA, agency policies, and applicable regulations.
- Participate in staff meetings, trainings, and agency planning activities.
- Complete additional marketing, outreach, and community-relations duties as assigned.
Work Schedule and Travel Requirements
- This position requires working three days per week in the office and two days per week in the community.
- Community days may include meetings, presentations, partner visits, networking opportunities, and community events.
- Occasional evening or weekend attendance may be required for community events.
- Local travel is required.
- The employee must have reliable transportation, a valid driver’s license, and automobile insurance, as applicable.
Minimum Qualifications
- Bachelor’s degree in marketing, communications, public relations, business, social services, public health, psychology, or a related field preferred.
- Experience in marketing, community outreach, relationship management, healthcare, behavioral health, social services, or a related area.
- Strong communication, interpersonal, networking, and public-speaking skills.
- Ability to develop and maintain professional relationships with diverse community partners.
- Strong organizational skills and attention to detail.
- Ability to track, analyze, and report referral and outreach data.
- Proficiency with Microsoft Office, Google Workspace, spreadsheets, databases, or customer relationship management systems.
- Ability to work independently in the community while collaborating effectively with an internal team.
Preferred Qualifications
- Experience working for a community mental health, healthcare, or social service organization.
- Familiarity with behavioral health services and community referral processes.
- Experience conducting presentations or representing an organization at community events.
- Experience tracking referral sources, outreach outcomes, or marketing performance indicators.
- Knowledge of local community organizations and resources.
- Bilingual (English and Spanish)
