POSITION SUMMARY

The Clinical Manager is a key leadership role responsible for overseeing the clinical and operational performance of therapists, care coordinators, and service programs across PBS and the Hope Center.

This position ensures high-quality, evidence-based mental health services while also prioritizing productivity, financial sustainability, compliance, and timely documentation. The Clinical Supervisor must be flexible, adaptable, proactive, organized, solutions-focused, and able to lead confidently in a fast-paced environment.

This role involves staff support and development, waitlist management, case consultation, problem-solving, and supporting the agency’s mission to provide consistent, outcomes-driven care to children, teens, adults, and families.

CORE RESPONSIBILITIES

Clinical Support & Staff Development

  • Provide weekly/biweekly clinical support to therapists.
  • Review caseloads, treatment plans, and progress toward client goals.
  • Ensure therapists are using evidence-based practices and outcome measures.
  • Identify skill gaps and provide coaching, training, and corrective action when needed.
  • Support staff in managing caseloads.

Compliance, Documentation, & Medicaid Standards

  • Ensure all therapists complete documentation within agency timelines (24–48 hours).
  • Monitor accuracy and medical necessity of assessments, progress notes, treatment plans, and CFARS/FARS.
  • Conduct periodic chart audits and provide corrective training.
  • Ensure compliance with Florida Medicaid, MCO requirements, and PBS internal policies.
  • Work closely with the compliance team to reduce billing errors, denials, and audit risk.

Operational Oversight & Caseload Management

  • Oversee therapist caseload distribution and productivity targets.
  • Collaborate with care coordination to ensure timely referral assignment, scheduling, and family engagement.
  • Address workflow delays, communication issues, or missed follow-ups immediately.
  • Track client engagement, missed appointments, authorizations, and discharges.
  • Ensure services remain consistent, family-centered, and goal-oriented.

Leadership, Problem-Solving & Agency Support

  • Serve as a primary point of contact for therapist concerns, escalated client issues, scheduling problems, and internal conflicts.
  • Model professionalism, accountability, and strong communication.
  • Resolve parent, school, or referral-source complaints quickly and effectively.
  • Provide leadership presence that helps stabilize operations and improve team performance.
  • Identify systemic issues and develop solutions.

Financial & Productivity Awareness

  • Monitor therapist productivity, billable hours, and service utilization.
  • Ensure clinicians maintain active caseloads and complete required monthly service volumes.
  • Support the agency in meeting revenue goals by reducing client drop-off, missed sessions, and incomplete documentation.
  • Collaborate with leadership to improve operational efficiency and financial outcomes.

Cross-Team Collaboration

  • Work with the Director of Business Operations to streamline processes.
  • Partner with compliance, billing, care coordination, and admin teams to ensure seamless workflows.
  • Provide clinical input during staff meetings, trainings, and strategic planning.
  • Assist with new program launches, grants, and evidence-based initiatives.
  • Develop, lead, and facilitate training and meetings for therapists and staff.
  • Co-lead, assist, and support project management to increase productivity and efficiency within organizational systems and policies.

QUALIFICATIONS

  • Master’s degree in social work, counseling, psychology, or a related field.
  • Minimum 2 years of clinical experience with children, teens, and families.
  • Understanding of Medicaid, managed care rules, and documentation standards.
  • Ability to lead with accountability, empathy, and structure.
  • Flexible and adaptable in an ever-changing and growing mental health field.
  • Excellent communication, conflict resolution, and time management skills.
  • Comfortable in a fast-paced environment with competing demands.

WORK ENVIRONMENT & SCHEDULE

  • In-Office position, Monday-Friday
  • Must be available for clinical support as needed
