Appraisal Production Coordinator

About Us
Portland Residential Appraisals, Inc. is a boutique real estate appraisal firm serving the greater Portland market. Our work includes traditional valuation assignments as well as complex non-lender assignments, including estate and gift tax appraisals, dissolution matters, tax appeals, title claims, and litigation-related work.
We are seeking an Appraisal Production Coordinator to support the firm’s two partners in a highly detailed, deadline-driven professional environment. This is a key support role focused on research, workflow coordination, client communication, report production support, proofreading, file management, and final delivery.
Position Summary
The Appraisal Production Coordinator helps manage the many moving parts of appraisal assignments from inquiry through final delivery. This role includes quote-request research, client and scheduling coordination, file setup and organization, research, report production support, proofreading, formatting, final delivery preparation, and ongoing workflow tracking across active assignments.
This role is designed to improve efficiency, reduce administrative and production burden on the partners, and help maintain a high standard of organization, responsiveness, and final work product quality.
This is not a valuation role. Independent appraisal analysis, development of opinions and conclusions, and report signing remain with licensed appraisers.
Key Responsibilities
Research and Assignment Setup
- Assist with quote requests, preliminary assignment research, and bid support
- Gather and organize background materials needed for engagement and service agreement preparation
- Support file creation, assignment setup, and initial data pull
- Collect and organize public-record, property, and other factual background information for appraiser use
- Help confirm factual items and support materials during report development
Workflow Coordination
- Track assignments from inquiry through delivery, including deadlines, milestones, follow-up items, and next steps
- Maintain assignment checklists and status tracking across approximately 15 to 25 active files per month
- Coordinate scheduling for inspections, calls, deadlines, and deliverables
- Identify missing items, bottlenecks, and follow-up needs proactively
- Help keep assignments moving efficiently through the production process
Client Communication and Administrative Support
- Assist with routine client communication, scheduling coordination, and status updates
- Support engagement-related communication and document follow-up
- Draft or send professional written correspondence as appropriate
- Maintain professionalism, responsiveness, and discretion in all communications
- Help reduce the volume of routine coordination work handled directly by the partners
Report Production Support
- Assist with basic report build-out and template population
- Compile supporting materials, exhibits, maps, photos, and related documents
- Help organize workfiles and supporting documentation
- Support report preparation tasks prior to final appraiser review
- Assist with administrative and production tasks that improve consistency and efficiency
Proofreading, Formatting, and Final Delivery
- Proofread appraisal reports for grammar, formatting, consistency, completeness, and professionalism
- Review reports for missing exhibits, attachment issues, inconsistent dates, naming issues, and formatting errors
- Help ensure final reports are polished, complete, and presentation-ready
- Prepare reports and related files for final PDF assembly and delivery to clients
CRM and File Management
- Maintain CRM records, contact information, assignment stages, and follow-up tasks
- Help support future workflow adoption into HubSpot, Toggl, Airtable, and related systems as implemented
- Organize digital file structures, naming conventions, and assignment records
- Maintain orderly workfiles and document storage across active assignments

- Ability to work calmly and accurately in a fast-paced, deadline-driven environment
- Strong judgment, professionalism, and discretion
- Proficiency with Microsoft Outlook, Word, Excel, Adobe Acrobat/PDF workflows, and general office technology
- Ability to learn specialized appraisal terminology, workflow, and internal systems quickly
Preferred Background
Experience in one or more of the following environments is strongly preferred:
- Real estate transaction coordination
- Legal assistant or litigation support
- Appraisal firm administrative or production support
- Title and escrow operations
- Commercial or residential real estate analyst support
- Executive assistant or project coordinator roles in detail-heavy professional services
- Mortgage processing or underwriting support
- Paralegal-style document production environments
Real estate or appraisal experience is attractive but not required. Strong candidates from legal or other document-intensive professional services environments will also be considered.
