The Billing Specialist is responsible for generating accurate invoices to ensure timely payments and maintaining consistent and professional communication with account team and clients. This position supports the accounting department by overseeing all aspects of the project billing process and ensuring all documentation and data entry are completed with precision and within established deadlines.
Position Duties and Responsibilities
- Perform project billing in accordance with the established invoice procedures and timelines.
- Review, maintain, and update invoice work instructions for assigned projects.
- Reconcile invoice totals with each submission to ensure accuracy.
- Incorporate job cost adjustments and make approved adjustments in the accounting system.
- Generate invoice documentation with appropriate backup as required.
- Establish and maintain a positive working rapport with account team and clients.
- Provide timely and accurate responses to all billing-related inquiries.
- Perform additional duties as assigned by the Billing Manager.
Requirements:
- 2 years of billing experience.
- Demonstrated proficiency in MS Office, Adobe and billing/accounting software.
- Exceptional attention to detail.
- Ability to research job cost discrepancies and escalate to the account team.
- Ability to work in a fast-paced work environment.
- Ability to execute complex bills in a timely manner (i.e., split-party/business unit billing).
- Ability to handle a high volume of bills per month.
- Ability to effectively interact and communicate with account team and clients.
Preferred:
- Bachelor’s Degree in Accounting/Business Administration.
- Job cost billing experience.
- QuickBooks Enterprise software.
Job Type: Full-time
Pay: $26.44 - $31.25 per hour
Expected hours: 40 per week
