Job Summary
Population and Survey Analysts (PASA) is seeking a detail-oriented, dependable, and proactive Office Support Specialist to join our dynamic team in College Station, Texas. In this essential role, you’ll support day-to-day operations across departments, helping ensure the accuracy and timeliness of internal processes, financial records, and client deliverables. You will be the operational linchpin, coordinating calendars and travel, managing documentation, maintaining office systems, and helping create a well-organized, professional work environment. Key Responsibilities

Administrative & Office Support

Provide daily administrative support to PASA’s President and Director of Operations.

Coordinate company-wide calendars, meetings, travel arrangements, and office events.

Manage office supply orders, storage organization, vendor communications, and general upkeep.

Oversee copier/printer functionality, recycling, and removal of large trash items.

Prepare, print, bind, and ship reports to clients with precision and timeliness.

Set up meeting spaces, coordinate hospitality, and support internal events logistics.

Financial & Recordkeeping Support

Oversee expense tracking systems and support monthly financial closeouts.

Prepare and deposit checks; reconcile records of incoming funds.

Assist with accounts payable/receivable and ensure compliance with internal procedures.

Maintain organized and secure physical and digital records.

Project Coordination & Communication

Track project timelines and deliverables using project management tools.

Respond to RFPs, prepare proposals, meeting agendas, and client-facing materials.

Serve as the first point of contact for visitors and incoming calls.

Support conference and event logistics, including registration and booth setup.

Post pre-approved social media content and liaise with marketing consultants as needed.

Qualifications

Required:

High school diploma or GED.

2–3 years of administrative, clerical, or office operations experience.

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); comfortable learning new tech platforms.

Strong organizational skills and attention to detail in a fast-paced environment.

Professional communication skills and ability to handle confidential information.

Preferred:

Associate’s or Bachelor’s degree in Business, Communications, or related field.

Experience supporting leadership in a consulting, education, or planning organization.

Familiarity with expense management tools (e.g., QuickBooks, Dext), project management software, or CRM/ERP platforms.

Additional Information

Work Schedule: This is a full-time, on-site position at PASA Headquarters in College Station, Texas. A hybrid schedule may be considered following a probationary period and based on job performance and operational needs.

Physical Requirements: Prolonged desk/computer work and occasional lifting of up to 40 lbs.
