Job Description: Pastor’s Secretary
Status: Full Time – The Pastor’s Secretary is a full-time position responsible for assisting the Sr. Pastor in all matters related to the Sr. Pastor’s position. Job requires willingness to work outside regular office hours, holidays, and weekends. Job requires attendance at many evening meetings and visitation outside of regular office hours.
Position Overview: The Pastor’s Secretary will assist the Sr. Pastor and other clergy on staff relating to their duties including overseeing calendars, helping carry out office policies and procedures, and safeguarding the Sr. Pastor’s time and energy by helping prioritize contacts, meetings, and events with the
Sr. Pastor. The position acts as an office and administrative assistant to the Sr. Pastor freeing the pastor for higher priority work.
Supervisor: This position shall report directly to the Sr. Pastor.
Skills Required
- Demonstrates a personal relationship with Jesus Christ
- Knowledge of modern office procedures and methods, filing, telephone communications, and office equipment, as well as English usage, spelling, grammar, and punctuation.
- Ability to perform secretarial, clerical, office, and administrative duties with speed and accuracy without immediate and constant supervision.
- Ability to quickly learn new computer data entry programs.
- Ability to use a personal computer and various software packages as well as other digital technology and communications.
- Ability to maintain a great working relationship with all co-workers and the general public.
- Ability to establish priorities, work independently, and proceed with objectives without supervision.
- Ability to handle and resolve recurring problems and work in an active environment.
- Ability to keep strict confidentiality and to refrain from unnecessary discussions of church business.
Physical Requirements
- Able to move freely in and out of office and various church settings.
- Able to speak in a public forum and to communicate clearly in one-on-one setting.
Essential Job Functions
- Develops, types, and copies weekly worship bulletins and bulletins for other special events with the pastor.
- Types reports, memos, and basic correspondence using word processing software.
- Maintains computer based and paper files.
- Performs secretarial duties such as answers office inquiries, receives telephone calls, manages emails, monitors and orders office supplies, sorts, distributes, prepares, and sends mail, operates and oversees maintenance of office equipment, and makes copies.
- Develops, prepares, and sends e-newsletter.
- Helps update and keep church website current.
- Oversees church calendar.
- Assists various committee chairs in their responsibilities.
- Updates serving lists for various ministries.
- Keeps a clear record of scheduled weddings and communicates regularly with the Wedding
Coordinator.
- Serves as membership secretary.
- Assists pastor in administrative duties.
- Actively participates in the staff of Polk Street.
- Participates in required weekly staff meeting.
- Performs other duties as assigned.
- Projects a positive image of Polk Street to congregants and the community.
