Essential Tasks:
  • Assist customers by providing information on the various types of mental health, estate, and guardianship cases. Professionally answering their questions and assisting with the preparation of paperwork without giving legal advice.
  • Process time-sensitive and confidential Mental and Public Health cases submitted by facilities and self-represented customers.
  • Process time-sensitive Risk Protection Order Petitions (RPOs) submitted by a law enforcement agency or law enforcement officer.
  • Prepare proposed orders and notices for the judge or magistrate, in certain proceedings, and process their responsive filings, including setting cases for hearing and sending service packets to the Polk County Sheriff’s Office (PCSO).
  • Scan paper documents and index electronic filings received from the Florida Courts E-Filing Portal. Perform data entry to build, close, reopen, or re-close cases and update the case progress docket with subsequent filings.
  • Prepare court dockets and attend hearings, in person and virtually. Make certain the court proceedings are recorded, and accurately reduce the judge or magistrate’s ruling to the court minutes in court.
  • Perform statutory duties such as reporting certain orders to the Florida Department of Law Enforcement (FDLE) Mental Competency (MECOM) Database, the Florida Department of Agriculture and Consumer Services (FDACS), and the Department of Children and Families (DCF).
  • Provide quality customer service to internal and external agencies in person, by phone, or through written communication.
  • Perform cashiering duties while working at the front counter.
  • Occasional overtime may be required to complete statutory service requirements for RPO and mental health orders, cover court hearings, or assist late-arriving customers.
  • Being able to work in a constant state of alertness and safe manner.
  • All other duties as assigned.
Minimum Skills/Qualifications:
  • Graduate of an accredited high school or possess an acceptable equivalency diploma.
  • Ability to acquire or have knowledge of current procedures to accomplish tasks within areas of responsibility.
  • Ability to organize, prioritize and manage work to meet necessary time requirements and workload.
  • Ability to communicate well with people from varied backgrounds.
  • Ability to maintain attention to detail and to remain calm in an intense environment.
  • Ability to maintain professionalism, composure and high level of confidentiality when exposed to extremely sensitive situations.
  • Ability to remain flexible as conditions change and continue effective performance in the face of additional challenges.
  • Ability to make quick, objective decisions.
  • Knowledge of Florida statutes, Clerk’s policies, and procedures.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
  • Ability to speak effectively to customers or employees of the organization and read and write English.
  • Ability to operate a PC and/or mainframe and related software applications.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to accurately type 35 wpm.
  • Six months related job experience is preferred.

  • Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust to focus.
  • The noise level in the work environment is usually moderate.
