Executive Director for Polk County Bar Association and Volunteer Lawyers Project
The Polk County Bar Association (PCBA) and Volunteer Lawyers project (VLP) are seeking an Executive Director to serve both organizations in their related core functions. The PCBA is a non-profit organization supporting the education of and collegiality among attorneys and judges in Polk Couty, Iowa. The VLP is a separate arm of the PCBA, coordinating the provision of volunteer pro bono legal services within Polk County. The PCBA and VLP share an Executive Director and office space, although each organization is directed by a separate board of volunteers. The Executive Director carries out the directions of the Boards and leads and supports both organizations in the following ways:
Board and Leadership Responsibilities
· Fulfill all responsibilities as directed by the PCBA and VLP Boards of Directors
· Prepare strategic initiatives, suggestions for, and participate in each board meeting, special meetings and social events
· Prepare agenda (with Board President) and board packet, including Executive Director report for each board meeting with an annual update and forecast for the annual meeting
· Direct notice of meetings to members
Financial Management of PCBA and VLP
· Maintain appropriate banking relationships, including rotating officers
· Maintain proper payroll for all employees
o Review time sheets and expense requests
o Input information for payroll processing
· Prepare preliminary budget for board consideration, including recommendations for the Board as well as savings or expenditures
· Review and approve payment of invoices
· Reconcile bank statements
· Prepare financial statements
· Prepare annual tax forms for non-employee compensation
· Provide financial records and information to tax attorney for preparation of annual tax authority reporting
· Open and review mail
· Pay bills and write checks related to organizations’ initiatives and missions
· Fundraising and grant writing related to organizations’ initiatives and missions
Human Resources
· Supervise PCBA and VLP staff, contractors and volunteers
· Prepare annual evaluations of staff, for Board review and approval
· Maintain employee records and update personnel policies with Board input
· Recruit and supervise volunteers related to each organization’s initiatives and mission
Monthly Luncheons
· Assure reservation of location
· Assure menu selected
· Attend and welcome guests
· Publicize
· Assist with setup and cleanup of event
Committee Support
· Work with President to fill committee chair positions
· Work with chairs to schedule and encourage regular meetings
· Assure luncheon arrangements as needed
· Assure attendance and participation in committee meetings by staff and assist with development of initiatives and implementation of activities
· Provide committee chair orientation
Nominating Committee
· Send appointment letter (to 6 immediate past presidents)
· Send notice to members in compliance with Bylaws
· Provide information regarding position vacancies and terms
· Distribute slate to membership in compliance with Bylaws
Dues
· Secure letters from PCBA and VLP Presidents to accompany renewal
· Send renewal notices
· Monitor membership renewals and attention to subsequent notices and contacts as needed
Social Events
· Select venue
· Assure selection of and work with caterer
· Attend all events and welcome guests
· Publicize and provide content for social media
CLE Events — Spring & Fall
· Assure selection of venue
· Assure collection of outlines from speakers and application for CLE credit
· Arrange AV needs for event
· Attend and supervise event
· Monitor flow, resolve issues (AV, seating)
· Publicize
Annual Meeting—May
· Invite Judges and Members, including 50-year members
· Purchase gifts for outgoing board members, President, and Award of Merit recipients
· Assure order of plaque and gavel
· Attend and supervise event
· Prepare agenda and printed program
Miscellaneous Duties
· Assure purchase of bulk office and event supplies, food, and refreshments
· Clean up after events
Iowa Supreme Court
· Assure participation in Court initiatives and special oral argument events
· Serve on the Access to Justice Commission, Family Law Task Force Subcommittee on Limited Scope Representation
Office Management
· Authorize and coordinate office supply purchases
· Maintain up-to-date software and equipment
· Arrange for IT support as needed
· Work with ISBA on building maintenance and shared systems (phones, security)
· Coordinate ISBA meeting space and CLE Center usage

Salary Range: $65,000-85,000 based on relevant experience.
