BROAD FUNCTION
The Front Office Manager reports to the Chief Executive Officer and works closely with the Chief Financial Officer and Chief Operating Officer. The Front Office Manager is responsible for all external facing communications and serves as the front-line interface with PEEC visitors and guests via the front office, phones, general emails, social media, and mail. In addition to providing excellent customer service, this position manages PEEC's front office and maintains shared office equipment and supplies while also supporting the marketing and volunteer efforts of the organization.
EMPLOYMENT STATUS This is a part-time, hourly position.
PRIMARY RESPONSIBILITIES
· Meet with CEO regularly to ensure continuity and efficient coordination between the Front Office, Development, and Marketing.
· Perform front office customer service duties (speaking with visitors, answering the phone, responding to PEEC emails, registering participants for public programs and community events, helping customers in the bookstore, incoming/outgoing mail).
· After initial training, weekly check-in with Marketing and Development Coordinator.
· Coordinate PEEC Ambassadors (visitor services volunteers) including scheduling, oversight, training, and managing task lists.
· Manage front office equipment as needed including postage machine, printers, on-call cell phone. · Maintain PEEC's front lobby information areas, hiker sign-in, buck-a-book, and ensure PEEC brochures, trail guides, and marketing materials are well stocked, timely, and available for visitors.
· Work with the CFO to maintain and organize PEEC's bookstore inventory. Train staff on store checkout procedures and serve as store clerk when staff are unavailable.
· Assist with bulk mailings.
· Distribute upcoming public programs to a list of online calendars and publications. Ensure appropriate online presence and advertising.
· Update PEEC visitor statistics monthly and communicate necessary information to the NPS, the insurance company, and staff.
· Attend monthly staff meetings and provide quarterly reports for the Board of Trustees.
· Perform other duties as assigned.

· Keen attention to detail in planning, organizing, and managing multiple projects simultaneously.
· Adept technical skills and proficiency in all Microsoft Office applications, including Outlook, Excel, Access, PowerPoint, and Word.
· Solutions-oriented, flexible, team-player who thrives in a fast paced, do-it-yourself, non-profit environment.
· Ability to make independent decisions and respond to the needs of guests, emergency situations, and program needs.
COMPENSATION This is a part-time position for 20-30 hours/week, with the ideal candidate able to commit to a routine Monday through Friday schedule with consistent hours between 9am-4:30pm. $15/hour.

For 50 years, PEEC has provided outstanding environmental and sustainability experiences to over 30,000 people each year. Our focus is overnight and day-long, immersive, hands-on outdoor experiences for students from Pennsylvania, New York, and New Jersey. We offer nature, STEM, and recreational programs for school groups, families, adult learners, and professionals.
