Inside Sales Assistant / Sales Administrator

We are seeking a motivated and detail-oriented Inside Sales Administrator or Assistant to join our sales team. This role plays a critical part in supporting the sales process by following up on open opportunities, providing outstanding service to customers, and assisting inside sales with daily tasks such as order entry, filing, and general customer inquiries.

The ideal candidate is highly organized, customer-focused, and proactive in following up with customers to help convert quotes into orders. This position has a customer service feel to the inside and outside sales team and ensures a smooth sales and order process.

Key Responsibilities

• Work closely with outside sales representatives and internal teams to support active sales opportunities.
  • Maintain accurate records of quotes, customer communications, and sales opportunities within CRM or internal systems.
  • Identify potential opportunities within existing customer accounts.

• Track all submitted quotes and proactively follow up with customers to help secure orders.
• Contact customers regarding pending quotes, pricing questions, or additional information needed.
• Maintain an organized quote pipeline and provide updates on quote status and conversion progress.
• Coordinate with internal teams to gather required information for complex quotes.
• Serve as a primary point of contact for customer inquiries via phone and email.
• Provide product information, order updates, and general assistance to customers.
• Process customer orders and ensure all required details are accurate and complete.
• Resolve customer questions or issues in a professional and timely manner.
• Build and maintain strong customer relationships through responsive communication.
• Assist with maintaining pricing lists, product data, and customer records.
• Provide administrative support to the sales team as needed.

Qualifications:

Education & Experience

• High school diploma required; associate or bachelor’s degree preferred.
• 2 years of experience in inside sales, sales support, or customer service.
• Experience preparing quotes or working in a product-based sales environment is a plus.

Skills

• Strong communication and interpersonal skills.

• Proficiency with CRM systems, and ERP systems.

Physical Function

• Up to 8 hours of sitting and computer work daily
• Monday-Friday schedule 8am-5pm.
• Manual dexterity for continuous typing.
• Frequent phone usage, can use a headset.
• Will cross train to warehouse function and sales counter in warehouse.
• Ability to lift up to 20lbs regularly, 50lbs occasionally.
• Ability to walk, squat, reach overhead occasionally.
