Safety, Equipment, Fleet and Facility Coordinator (SEFF Coordinator)

Job Title: SEFF Coordinator

Reports to: COO

Position Summary

  • The SEFF Coordinator has the overall responsibility for the safety at all locations, the maintenance and upkeep of all equipment, and the assistance in the purchase of new equipment, the maintenance and upkeep of the entire fleet, the aid in the purchase of new vehicles, and the maintenance and upkeep of all facilities. This individual must have knowledge of OSHA and DOT guidelines as it relates to our industry. The SEFF Coordinator must be open and available to discuss SEFF matters with the entire workforce. The SEFF Coordinator reports to the COO and works with Pipe Movers, Inc. Corporate Team, Branch Managers, and Warehouse Managers to administer the SEFF program. The SEFF Coordinator also performs such functions as may be assigned by the Corporate Team.

Essential Functions & Job Responsibilities

Rolling Asset – tractors, fleet, trailers, forklifts

  • Assist with acquisition of vehicles & other rolling assets as needed
  • Schedule preventative maintenance on all rolling assets utilizing maintenance management software.
  • Coordinate urgent or emergency repairs as needed, i.e., towing, roadside assistance, etc.
  • Manage rolling asset licensure and registration by utilizing maintenance management software
  • Coordinate with HR Administrator to ensure employees operating rolling assets have proper certification and up-to-date training
  • Monitoring drivers to ensure adherence to DOT regulations and proper driving practices
  • Monitor and audit equipment use
  • Review fuel costs and fuel schedules
  • Provide reports to management on pricing, expenses, schedules, and maintenance and fleet programs
  • Identify best practices to decrease costs and improve the efficiency of rolling asset processes
  • Order rolling asset supplies, as needed
  • Conduct fleet safety training for new hires for all locations
  • Promote adherence to fleet rules and regulations

Safety

  • Visit locations to conduct safety audits on personnel, equipment, and materials; and actively improve safety companywide.
  • Develop and execute health and safety plans in the workplace according to legal guidelines.
  • Evaluate practices, procedures, and facilities to assess risk and adherence to laws, rules, and regulations.
  • Analyze accident reports and evaluate injury case studies based on available facts with Fleet Safety Committee.
  • Prepare and conduct frequent safety-training sessions for health and safety matters and accident prevention.
  • Monitor compliance to policies and laws by inspecting employee practices and operations.
  • Inspect equipment and machinery to observe and report possible unsafe conditions.
  • Research environmental regulations and policies and institute change to ensure compliance.
  • Track incident metrics and report findings by working with HR Administrator.
  • Oversee the applications for and receipt of necessary permits.
  • Conduct safety orientation for all new employees.
  • Recommend solutions to issues, improvement opportunities, or new prevention measures.
  • Coordinate with managers on reporting on health and safety awareness, issues, and statistics
  • Visit branch managers at all locations to establish relationships.
  • Promote safe practices to all staff

Building & Yard Maintenance

  • Find relevant vendors and service providers and keep old, up-to-date electronic records
  • Develop a maintenance plan and implement
  • Ensure quality control standards are in line with written policy and procedure.
  • Update maintenance logs for all machinery.
  • Establish protocols for non-mechanical maintenance.
  • Ensure essential tools and machinery are in working order by performing regular inspections and calibrations
  • Assess procedures and make recommendations for improvement
  • Supervise repair work performed by third-party maintenance teams through communication with the warehouse manager and COO.
  • Coordinate on-site security schedule

Other

  • Order supplies for the welding shop, fleet, warehouse
  • Locate and implement training, and continuing education for all PMI equipment – forklift, welding, cutting, crane
  • Conduct yearly inventory with values of all items purchased for rolling assets, safety, building, and yard; and track trends for all locations
  • Purchase any required work equipment, tools, cleaning supplies, and materials for all PMI locations.
  • Maintain a computerized inventory of supplies and materials.

Qualifications

  • Bachelor's or Associate Degree or related discipline required.
  • At least five years' experience in safety and fleet coordination, OSHA and DOT experience
  • Must have efficient transportation for travel to all locations.
  • Experience working with a diverse workforce.
  • Fluency in Spanish is preferred.

  • Possess computer skills, including e-mail, word processing, and spreadsheets.
  • Excellent interpersonal skills to facilitate interaction with the workforce.
  • Travel required with little to no overnight stays.

WORK ENVIRONMENT

  • The ability to work in an office setting is required.
  • Able to sit, bend, twist, squat, reach and stand/walk for an entire workday.
  • The ability to work in Texas weather, i.e., heat, cold, dust, rain.
  • The ability to walk on different surfaces of warehouses and yards, i.e. hard surface, gravel surface.
  • Noise level in the work environment is moderately loud.
  • Able to lift up to 30 pounds.
