Job Summary
We are seeking a Part Time Assistant Property Manager to support our day to day operations of two commercial office buildings in San Francisco. This role requires approximately 20 hours per week and involves assisting with operations, vendor and tenant relations for two office buildings in the SOMA area.
The ideal candidate will have strong administrative skills, knowledge of property management regulations, and excellent customer service abilities to ensure smooth property operations and tenant satisfaction.
Responsibilities
- Assist Director of Property Management in addressing and tracking building work orders.
- Be available to give vendor and broker access to the building when needed.
- Coordinate property maintenance requests and facilitate communication with vendors and maintenance teams
- Handle tenant and vendor inquiries via phone and email with professional office etiquette
- Support facilities management tasks using MaintainX work order system, Brivo Access and other relevant tools.
- Regularly Report to Director of Property Management any property issues that may arise or may be noted during visits and inspections at properties
- Walk properties on a weekly basis, and as needed/directed by CPM
- Complete Property Inspection Report monthly and submit them same to CPM
- Direct Maintenance Team and note any maintenance issues that need to be addressed
- On call in case of property emergencies
Skills
- Working knowledge of Commercial Property Management and Landlord-tenant laws
- Experience with property management preferred but not required
- Strong administrative background with experience in documentation, contracts, data entry and office procedures
- Excellent customer service skills with professional phone etiquette and conflict resolution abilities
- Familiarity with property maintenance coordination and facilities management practices
- Strong organizational skills with attention to detail in recordkeeping and compliance documentation
- Ability to manage multiple priorities efficiently within a fast-paced environment
