What are the responsibilities and job description for the Full Time LTC- Administrative Assistant position at Plymouth Harbor on Sarasota Bay?
PURPOSE OF THE JOB
To perform assigned administrative assistant duties in an efficient manner, in accordance with established procedures and as directed by the Sr. Vice President of Health Services and DON of SCC. Also acts as the first point of contact for visitors to SCC.
DUTIES/RESPONSIBILITIES
1. Receive and follow schedule/instructions from the Sr. VP of Health Services and DON of SCC, as outlined in established policies and procedures.
2. Interact and communicate effectively and positively with residents, staff, visitors, and vendors. Communications include correspondence, newsletters, and verbal.
3. Create, modify and/or distribute correspondence as directed including: calendars, meetings, events, meeting minutes, policies/procedures, etc. as they relate to Health Services.
4. Order office supplies and maintain proper stock.
5. Provide the Accounting Department with invoices and/or other records as they relate to Health Services budgeting.
6. Update and distribute census records.
7. Answer telephone, make appointments, run errands, take and deliver messages, as directed.
8. Provide assistance with central staff (scheduling, medical records, supply ordering, billing) as needed.
9. Record all incidents/accidents in accordance with established policies.
10. Maintain petty cash funds in accordance with established policies.
11. Maintain Resident Trust Account records and mail quarterly statements of accounts to resident or resident representatives.
12. Ensure new resident’s name on outside of new resident’s door.
13. Set up power point presentations, as needed, for Sr. VP of Health Services and DON.
14. Collect data for and update SCC’s business plan.
15. Collect data and update Resident/Family satisfaction data.
16. Coordinate biohazardous waste pick-ups and maintain documentation for Department of Health.
17. Maintain appropriate licensure for all Health Services and posts licenses where necessary.
18. Work safely; complying at all times with Plymouth Harbor safety standards.
19. Discharge properly other responsibilities and duties that may be directed by the Sr. VP of Health Services.

SUPERVISORY RESPONSIBILITY
- This position has no supervisory responsibilities.
Education:
- Minimum high school plus specialized training in a vocational occupation or equivalent.
- Minimum one year experience.
- Must have good organizational skills.
- Must be a detail-oriented person and able to perform duties with great accuracy on a daily basis.
- Must have excellent personal skills, demonstrating the ability to conduct oneself in a non-controversial style; a style that inspires the respect of others and promotes a sense of trust in the individual’s competence.
- Must have good communication skills; speaking, writing, and listening.
- Must be fluent in English.
- Must have good computer skills.
- Must be proficient with Microsoft Office programs with emphasis on Outlook, Publisher, and Word, with the ability to learn and use proprietary software as required.
- This position does not require any certificate/license/registration.

- Must be able to sit, stand, walk and move throughout the workday (lifting, carrying, bending, squatting, reaching, kneeling, pushing, pulling, twisting) using good body mechanics.
- Position may require pushing/moving residents, equipment, supplies, etc. in excess of 100 pounds (resident in wheelchair, rolling table, piano on dolly, etc.) several times daily.
- Must be able to sit and stand for long periods of time.
- Must be able to cope with the physical and emotional demands of the position.
