Job Summary
The Union Office Professional provides administrative and clerical support to ensure the smooth and efficient operation of the union office. This position assists leadership in maintaining accurate records, financial documentation, and effective communication with members, contractors, and external agencies.
Responsibilities
- Provide a welcoming and helpful presence by greeting members and visitors at the office window and assisting with inquiries or payments.
- Answer phones, handle correspondence, and maintain organized office records.
- Process membership applications, dues payments, and update member information.
- Prepare and distribute meeting agendas, minutes, notices, and reports.
- File required reports with state, federal, and UA offices.
- Create, assemble, and distribute the monthly union newsletter and other member mailings.
- Assist in coordinating annual union events including invitations, payments, and logistics.
- Process and file death benefit forms with UA and manage member notifications through automated text and call systems.
- Coordinate general member communications, announcements, and updates.
- Assist members and the public with inquiries regarding hall rentals and related requirements.
- Support the Business Manager and Business Agents with administrative and clerical tasks.
- Maintain confidentiality and ensure compliance with union policies and reporting deadlines.
- Any other duties assigned.
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or related bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Exceptional communication skills along with professional phone etiquette
- Knowledge of multi-line phone systems and customer service best practices
- Ability to handle multiple responsibilities simultaneously while maintaining a positive attitude
- Demonstrate time management skills with the capacity to meet deadlines consistently
- Ability to maintain confidentiality and handle sensitive information professionally
- Ability to work independently and manage multiple priorities efficiently
