Maintenance Coordinator (Missoula)

Compensation: $22.00 per hour

Employment Type: Full-Time / 40 hours On-Call Responsibilities

Work Hours: Monday through Thursday from 7:30 a.m. to 5:30 p.m. On-Call Responsibilities

DESCRIPTION OF COMPANY:

Plum Property Management was established in April of 2009 to provide real estate management to property owners and investors. Plum manages properties throughout Missoula and the close surrounding areas. Our properties include apartments, single-family homes, mobile home parks, storage facilities, homeowner and condo owner associations, and commercial properties.

Plum’s services consist of establishing rental rates, advertising, showing properties, negotiating leases, collecting payments, payables, forecasting requirements, preparing annual budgets, scheduling expenditures, tax preparation, initiating corrective action, resolving complaints, enforcing rules/laws, property assessments, maintenance coordination, cleaning coordination, planning renovations, establishing and enforcing precautionary policies, laws, and regulations, response to emergencies, and eviction preparation. Additionally, Plum prepares reports by collecting, analyzing, and summarizing data and trends within our industry. We accomplish knowledge by participating in educational opportunities, professional organizations, and maintain personal and professional networks.

SUMMARY OF THE POSITION:
Plum is seeking a full-time Maintenance Coordinator for our maintenance department. This position requires the applicant to have experience working within the Property Management industry, specifically in a maintenance department. The team member is to perform tasks related to the maintenance and general upkeep of properties managed by Plum. This involves routine and cyclical tasks along with more complex and emergency tasks. The position also requires strict deadlines to be met with accurate outcomes.

  • Oversee the scheduling of maintenance related items for 1,000 units. Work with on-staff maintenance technician(s) and third-party vendors. You will also work to schedule assessments for our on-staff Rental Condition Assessor and third-party vendors who assist with these tasks. Ensure timely completion and proper documentation of service issues in the software system.
  • Maintain and develop relationships with third-party vendors, including evaluating performance, negotiating service rates when appropriate, and ensuring vendor compliance with Plum’s service standards.
  • Ability to lead teams effectively in a fast-paced industrial environment.
  • Coordinate routine assessments and implement preventative maintenance schedules for our managed properties. Provide assessment support when necessary, including verifying completed maintenance work, conducting drive-by inspections, or assisting during high-volume periods.
  • Serve as one of the main points of contact for renters regarding maintenance issues. Provide regular updates to renters and ensure excellent customer service by resolving maintenance issues promptly.
  • Review invoices for accuracy and approve payment for completed work.
  • Respond to emergency maintenance requests, including after-hours calls. Work to coordinate the repairs for urgent issues like water leaks, electrical outages, and health and safety hazards.
  • Serve as on-call maintenance providing evening, weekend, and holiday emergency service, or coordinating emergency maintenance to an outside vendor. Use of a personal device is required, but the use of company software systems is to be used to protect employees' personal contact information.
  • Maintain detailed records of work orders, repair costs, and vendor performance. Update property management software/property owners/renters/team with maintenance records and status updates.
  • Track inventory of operational supplies including code boxes, signage, and other field materials.
  • Make periodic site assessments to verify complaints of non-compliance or lease violations. Verify completed work of vendors and audit remodel work.

As time allows, the Maintenance Coordinator may be asked to assist with completing assessments. The below list is not an exhaustive list of assessments, but provides an overall understanding of what may be requested:

  • Properly perform several assessment types for vacant units. Evaluate the overall condition of new and existing properties to ensure that all health and safety issues, maintenance, and cleaning concerns are noted. Perform data entry of results within Plum’s software system and network.
  • Provide team members with thorough and detailed photographs and reports of property condition via drive-by, exterior assessment, and/or interior assessment.
  • Assessment reporting includes utilizing assigned checklists, examining appliances, locks, filters, smoke and carbon monoxide detectors, lawn/landscaping, fencing, and other required items as listed on reports and checklists.
  • Assist with operational oversight of Plum’s storage facilities, including routine site inspections, move-out checks, securing delinquent units, and light facility upkeep as needed.
  • Regular travel throughout Missoula and surrounding areas will be required. Surrounding areas including (but not limited to) East Missoula, Bonner, Clinton, Turah, Seeley Lake, Frenchtown, Huson, Alberton, Lolo, Florence, Hamilton, and Stevensville.

REQUIREMENTS & EXPECTATIONS OF RESUME:

We are seeking a person who can fulfill the following requirements:

  • Ability to read, write, understand, and communicate in English.
  • High School Diploma or General Education Diploma. Proof upon interview required.
  • Reliable automobile, proof of automobile insurance, and valid Montana state driver's license. Proof upon employment is required. The personal vehicle of an employee will be used for this position.
  • Efficient and skillful in computer and smartphone skills including operating a Microsoft® 365 Account, which includes the use of Teams, SharePoint, OneDrive, and Office products (Word and Excel).
  • Have a clear understanding and application of basic office equipment. i.e., computer, printer, copier, 10-key calculator, scanner, lamination machine, texting/messaging, tablet, television, alarm system, and door code entry system.
  • Type a minimum of 40 words per minute. Proof upon submission of resume required.
  • Experience in building maintenance and/or coordination of maintenance is preferred.
  • Experience in the property management or real estate industry is preferred.

  • Can perform constant follow up with renters, property owners, and vendors.
  • Can perform constant data entry and history/notes within Plum’s software system.
  • Can schedule multiple work orders and assign the work to the appropriate Plum Maintenance Technician or vendor.
  • Ability to work well with different personality types including emotional or stern renters and owners.
  • Discuss maintenance accurately with specific clients, renters, homeowners, etc.
  • Protect confidentiality as outlined within the employee handbook and non-disclosure agreement.
  • Complete essential tasks such as filing, mailing, emailing, taking notes/messages, etc.
  • Comply with local, state, federal, and company policies, procedures, and regulations.
  • Follow all policies and procedures outlined in the job description, provided checklists, and employee handbook.
  • Lift and/or move up to 35 pounds, when needed.
  • Sit and maintain computer screen time for long periods of time.
  • Strong organizational and time management skills.
