Job Summary:
The Assistant Project Manager reports to and is responsible for assisting the Project Manager and/or Senior Project Manager with the daily management, supervision, coordination, and successful completion of the project(s) to meet time and cost objectives with respect to all contract administration functions.
Essential Functions:
- Work directly with project manager(s) to help implement project goals and improve profit margin
- Support project manager(s) with assigned tasks related to project oversight
- Establish and maintain a professional working relationship with the customer
- Assist the superintendent and project manager with the overall plan for construction of the project.
- Compile all applicable information for superintendent at project start up i.e.; drawings, subcontractor list, phasing plans, purchase orders listing scope only, project schedule, permit, pertinent Client information, sign in sheets and any other project specific information.
- Update project pulse notes for weekly meetings on a regular basis
- Manage the daily field reports and photos
- Maintain the weekly Client email update and progress reports as applicable
- Oversee variable aspects of projects and provide direct assistance to ensure timely project execution
- Keep the project manager fully informed in a timely fashion with regard to any and all problem areas on the project.
- Maintain good relationships with the owner, architect, engineers, subcontractors, suppliers, municipal authorities and company personnel involved with the project.
- Review project drawings with project manager(s) to ensure you have a thorough grasp on contracted scope of work
- Review subcontract bids for completeness with project manager
- Support project manager with buyout process in reviewing scope of work to generate a thorough purchase order
- Issue purchase orders for necessary materials and vendors upon review with project manager(s)
- Assist project manager to ensure budget is up to date and inclusive of change order entries
- Generate subcontractor purchase orders for project manager review
- Oversee material shipping and tracking to ensure project schedule is not negatively impacted, within our control
- Oversee Superintendent's progress and adjust as necessary to insure timely completion of project
- Insure that both Company and client objectives are being met
- Assist superintendent with job specific challenges
- Daily communication with superintendents to ensure successful project turnovers. Phone calls can occur both during and before/after normal business hours.
- Process all required paperwork for both internal and external use
- Request Subcontractor close out documentation and pursue to completion
- Managing the project closeout process
- Travel as necessary for the proper execution of assigned projects
- Work closely with Project Managers to verify all items for projects are acquired/ordered/scheduled/tracked/etc.
- Assist project manager in the preparation of change proposals, change orders review, issues change orders to subcontractors upon project manager approval.
- Utilize PVC Connect and update project regularly for project schedule and financials.
- Such other duties as may be related to the above.
- Help facilitate weekly project meetings both internal and external
- Prepare, expedite, and monitor meeting minutes, logs for tracking shop drawings, contract documents, submittals, request for information, change orders, material delivery logs and other logs as determined necessary for a successful project.
- Other duties as assigned.
Requirements:
- Minimum 3 years experience in Construction Management - preferably in Commercial Construction
- Ability to manage multiple projects simultaneously
- Blueprint reading
- Proven to be highly self-motivated, strong personal initiative and solid judgment.
- Proven to work accurately while under pressure.
- Proven strong organizational skills with a superior attention to detail.
- Computer proficiency in the Windows environment, as well as Microsoft Office- Outlook, Excel, Word, ETC.
- Good organizational and communication skills
