GENERAL PURPOSE
The Planning & Zoning Assistant serves under the direction of the Community Development Director by providing assistance to the general public at the front counter and working closely with the Community Development Director and the City Planner in the implementation of land use/planning and related policies and regulations as well as to perform clerical work associated with processing information/documentation relating to the Community Development Department.
FUNCTIONS AND DUTIES
- Provides assistance to the public in regard to all planning/land use applications.
- Responsible for the clerical parts of the land use application process in a timely manner.
- Responsible for keeping land use and development records up to date and performing file research to be able to complete GRAMA (Government Records Access and Management Act) requests.
- Assists the public with notary services.
- Processes bonds regarding land use and development projects.
- Provides answers to the general public for basic zoning questions.
- Posts agendas and takes minutes for Planning Commission and other public meetings.
- Writes Reports of Actions from Planning Commission meetings.
- Provides information and writes reports for land use applications to be used by the City Planner.
- Provides clerical support for the Community Development Department as needed.
- Performs reception functions: answers telephone calls and greets visitors.
- Performs customer service functions, provides information/assistance regarding department services, activities, procedures, fees or other issues.
- Receives money in payment of various fees/services.
- Records transactions, issues receipts, and forwards revenues as appropriate.
- Performs file organization and processes records through electronic scanning.
- Assists the Building Technician and the Business License Specialist with various clerical duties.
- Communicates effectively and courteously with the public and co-workers.
MINIMUM QUALIFICATIONS
Education:
- High School diploma or GED required.
Experience:
- One (1) year of related experience preferred.
Knowledge:
- Knowledge of computer skills including Microsoft Office.
- Knowledge of word processing.
Skills/Abilities:
- Skill in communicating effectively, both orally and in writing.
- Ability to present technical information to the public in a clear, concise and easily understandable manner.
- Ability to prepare accurate and reliable reports.
- Typing certified at 30 wpm.
- Ability to lift up to 20 pounds.
- Skill in decision making.
- Skill in being well organized.
- Ability to show initiative in fulfilling responsibilities.
- Ability to understand, interpret and apply rules, regulations, policies and procedures.
- Professional telephone demeanor and superb organizational skills.
- Ability to understand advanced conversations, receive direction, and understand the spoken word.
- Ability to perform complex skills.
WORKING CONDITIONS
- Staff front reception desk, attend customers at front counter, filing and moving files.
- Work is typically performed in an air-conditioned office.
- No significantly hazardous conditions exist.
