As the Accounting Assistant, you will support the day-to-day accounting operations of the organization by processing accounts payable, maintaining financial records, and providing administrative support to both the accounting and project teams. This is an excellent opportunity for someone beginning their accounting career who is looking to gain hands-on experience in accounting, construction administration, and business operations.
You will help ensure vendor invoices are processed accurately and timely, maintain organized financial documentation, and support month-end accounting activities while assisting with project administration and office operations.
This role reports directly to the Controller.
Key Responsibilities
Accounts Payable
- Collect vendor invoices and supporting documentation.
- Match invoices to purchase orders and receiving documentation.
- Obtain invoice approvals from appropriate personnel.
- Enter vendor bills and invoices into QuickBooks Online (QBO).
- Issue and maintain purchase orders.
- Research and resolve invoice discrepancies.
- Communicate with vendors regarding invoices, payments, and account inquiries.
- Maintain accurate vendor records, including W-9 forms and Certificates of Insurance (COIs).
Month-End Accounting Support
- Reconcile accounts payable accounts and vendor balances.
- Assist with month-end closing procedures.
- Maintain organized accounting records and supporting documentation.
- Support the accounting team with additional administrative and financial tasks as needed.
Construction Administration Support
- Assist with project documentation and administrative requirements.
- Track and maintain subcontractor compliance documentation.
- Organize project-related contracts, insurance certificates, and vendor files.
- Support project teams with administrative requests and documentation management.
General Administrative Support
- Make bank deposits and perform occasional banking-related errands.
- Assist with filing, document management, and general office administration.
- Support special projects and process improvement initiatives.
Additional Responsibilities
Perform additional duties and responsibilities as assigned to support the accounting department and organizational operations.
Qualifications
Required
- High school diploma or equivalent.
- Strong attention to detail and organizational skills.
- Basic understanding of accounting principles.
- Proficiency with Microsoft Office, particularly Excel and Outlook.
- Valid driver's license and reliable transportation for occasional local banking errands.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
Preferred
- Associate's degree in Accounting, Business, or a related field.
- Previous administrative, bookkeeping, or accounting experience.
- Experience with QuickBooks Online.
- Experience in construction, real estate development, or a related industry.

$40,000 - $45,000 per year
