Overview:
We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to two business owners. This remote position requires a self-starter with strong critical thinking skills, professionalism, and the ability to manage sensitive information with discretion. The Executive Assistant will play a vital role in helping the business owners stay organized, focused, and effective.
Key Responsibilities:
- Calendar Management: Coordinate and maintain schedules, meetings, and appointments for both owners
- Communication Support: Serve as a point of contact by managing emails, phone calls, and messages
- Travel Coordination: Arrange occasional travel, including bookings, itineraries, and accommodations
- Meeting Preparation: Organize agendas, take meeting notes, and track follow-ups
- Document Management: Prepare, proofread, and manage internal and external documents
- Project Support: Assist with various projects, research tasks, and communications
- Administrative Tasks: Manage files, monitor task deadlines, and support daily operations
- Professional Representation: Interact with clients, partners, and vendors with professionalism
- Confidentiality: Maintain strict confidentiality on all business matters
Qualifications
- Associate’s or Bachelor’s degree preferred
- At least 2 years of experience in an administrative or executive assistant role
- Strong written and verbal communication skills
- Excellent time management and organizational abilities
- Proficiency with Google Workspace or Microsoft Office Suite
- Ability to think critically, solve problems independently, and take initiative
- Must be reliable, trustworthy, and able to maintain confidentiality
- Willingness to travel occasionally for meetings or events
