Deputy Register of Deeds
The Deputy Register of Deeds assists the Register of Deeds in performing managerial, administrative, and financial work in the operation of recording, filing, and issuing of records. In the absence of the Register of Deeds, this position conducts and performs the duties of the Register of Deeds in compliance with state statutes, County Policies, and Office Policies. This position is responsible for ensuring the efficient operation of the Register of Deeds Office.
Job Functions:
- Work with Title companies, land surveyors, and business/local government agencies.
- Assist in recording and indexing legal documents.
- Oversee the accounts receivable collection, daily balancing of fees, and data entry of legal documents.
- Provide administrative office support and customer service skills while assisting members of the public both in person and on the phone.
- Manage and maintain the e-filing system used by the office.
- Manage the money drawer for customers paying cash.
- Calculate fees for documents and determine the appropriate Documentary Stamp Tax for transactions.
- Collect and deposit money to the bank.
- Fax and/or email documents when requested.
- All other duties as assigned.
Preferred Talents:
- Working knowledge of the state statutes of the recording and filing documents that are and can be accepted by the Register of Deeds.
- Knowledge of the policies for the County and the Register of Deeds Office.
- Knowledge of the scanning process for recorded documents and the state requirements for preservation of the permanent records,
- Effective communication skills both verbal and written.
- Ability to interact positively with the public, board members, county staff, and state personnel.
- Ability to carry out written or oral instructions independently.
- Organization and multi-tasking skills as well as attention to detail.
Qualifications:
- High school diploma or equivalent required.
- Relevant experience in a similar role preferred.
