Plattduetsche Home Society is an Adult Care Facility providing room, board, medication management, case management services, housekeeping and food services to seniors who are 65 or over.
Job Summary:
The Front Reception staff will report to Staff Team Leaders and the Administrator and be directly accountable for being PHS’s “face” and representative in charge of Reception, Visitors, Resident & Staff Screening, some Scheduling, some Calendar management and support of Human Resources. He or She assists the Staff Team Leaders in operating the Adult Home (AH) and Enriched Housing (EHP) programs, monitoring & maintaining the flow of communications, staff, visitors, vendors and residents, in real time, in person and virtually with IT solutions. He or she will fully support the Front Office Administrative Assistant, as a critical Team Member, in all matters concerning the AH Lobby and EHP Lobby. In varied support roles, the FR staffer facilitates operations and social services to help maintain and enhance the autonomy and dignity of the Residents of the AH and EH programs.
Qualifications:
Background and Expectations:
- Have a background in Office Reception, Hospitality or similar discipline. Business administration background preferred. Must have Administrative experience coordinating operations among a variety of staff. Must be able to interact in a positive manner with a variety of people, employees, residents, as well as representatives and family of residents.
- Professional phone etiquette a must.
- Must be knowledgeable in MS 365, MS Windows, Outlook, Excel and Microsoft Word, MS Teams and Google Suite, over a variety of devices.
- Must be friendly, outgoing and always professional in demeanor and appearance, accurate and detail oriented and have the ability to refocus attention as the day demands, understanding there will be many interruptions. Must be able to assist in Resident needs, compile and maintain Binder Books & records chronologically and become proficient in the Health Commerce System of DOH.
- Must be confidential with staff, employee and resident information, and capable of adjusting to a shift of responsibilities, and/or daily work schedule, as staff team duties are modified to best serve the Residents of PHS.
- Knowledge of, and proficiency in, general office equipment, phone systems, calendar, email, data drive programs, with an inquisitive nature and able to explore new software solutions, working with new technologies and programs.
- Ability to work under pressure with grace, multi-task, and be exacting in performance.
- Work well in an environment which is Resident Service centered, with minimal supervision by creating own deadlines and work schedules.
Administration
The Front Reception’s functions include, but are not limited to:
- Perform all aspects of Lobby Reception, Screening and Welcoming Guests, Visitors, Residents, Staff, and Vendors, inclusive of Contact Tracing. Perform administrative work such as MS 365 Calendar entries, invites and appointment coordination, word processing, creating and manipulating spreadsheets, and draft correspondence, assisting in compiling procedural Binders in compliance with all DOH and regulatory mandates.
- Interact with the residents, their families and others outside the work unit to obtain and/or provide information and assistance, supporting the Front Office Administrative Assistant, Case Management of our Residents, in a variety of circumstances;.
- Sorting and distribution incoming and outgoing mail, packages, and resident deliveries
- Directing and forwarding phone calls;
