The Role
Platform is seeking an Executive Assistant who is a skilled, organized individual to manage a wide variety of tasks for the firm in a hands-on, team environment. We highly value someone who is high in character, dependable, has a positive attitude, is hard working, and fits in with our collaborative culture. The specific responsibilities of the position include performing administrative and office support activities for multiple staff members.
Responsibilities
Essential functions of the position include:
a. Serving as a welcoming first impression for guests, greeting and directing visitors to the appropriate individuals/rooms
b. Answering, screening, and appropriately forwarding incoming telephone calls
c. Coordinating calendars of team members for various in and out of office meetings, including the ability to efficiently use and manage Outlook calendars
d. Scheduling, preparing, and providing continual support during in-office meetings (including video and audio-conferencing meetings via Microsoft Teams, Zoom and other applicable technology platforms)
e. Sorting, scanning, and organizing documents to ensure files are accurate and up to date (A/P, bank statements, legal documents, expenses, etc.)
f. Sorting and distributing incoming and outgoing mail and deliveries (including occasional trips to the Post Office)
g. Ensuring the office (conference rooms and general areas) is tidy and presentable
h. Maintaining office equipment (copiers, printers, etc.)
i. Managing and ordering all kitchen and office supplies, as needed
j. Arranging travel for team members, including booking flights, hotels, ground transportation, etc.
k. Maintaining accurate records of company expenses for credit card reconciliation (including usage of Concur for company expenses)
l. Coordinating office lunch orders several times per week in addition to catering orders for in-office meetings
m. Serving as point person for office maintenance and other general building requests
n. Supporting Information Technology and the third-party IT managed service provider
o. Coordination and planning of team social events, including lunches, social or teambuilding events
p. Assisting with project-based matters as assigned related to marketing, hiring, the firm’s intern program, etc.
q. Word processing of internal documents and deliverables
r. Other duties as assigned
Knowledge, Skills, and Abilities
a. Proven work experience as an Executive Assistant preferred
b. Positive, personable, and professional attitude and presentation
c. Ability to work independently and manage a wide variety of unrelated tasks without sacrificing attention to details
d. Excellent organizational and time management skills with the ability to adapt to a rapidly changing environment
e. Proficient with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
f. Proficient with video conferencing platforms (Zoom, Microsoft Teams, etc.) with the ability to be resourceful and proactive if issues arise
g. Strong verbal and written communication skills
h. Ability to proactively and collaboratively prioritize tasks
i. Ability to remain in a stationary position for extended periods of time using customary office machinery (computer, copy machine, printer, etc.)
j. Ability to move about inside the office to lift and replace office and kitchen supplies, and access office machinery, file cabinets, etc. on a frequent basis
k. Willingness and ability to drive in the local area for work-related errands (i.e., Post Office, restaurants for meal pickup)
The compensation for this position will be competitive and will have the ability to increase
as Platform grows. The position is eligible for the company benefits package, as well as an annual bonus, subject to performance of the individual and the firm.
