HR Administrator
The HR Administrator is responsible for supporting and executing core human resources functions in a small company environment. This role focuses on payroll processing, 401(k) and benefits administration, recruiting support, and oversight of administrative office personnel. The ideal candidate has a high standard of ethics, is detail-oriented, highly organized, and capable of managing multiple HR functions with accuracy and confidentiality.
Key Responsibilities
Payroll Administration
- Process and manage payroll accurately and on schedule
- Maintain payroll records, including wages, deductions, and tax filings
- Ensure compliance with federal, state, and local payroll regulations
- Coordinate with external payroll providers as needed
- Resolve payroll discrepancies and respond to employee inquiries
401(k) & Retirement Plan Administration
- Administer the company’s 401(k) plan, including enrollments, changes, and distributions
- Ensure compliance with plan requirements and regulatory guidelines
- Coordinate with plan providers, auditors, and advisors
- Assist employees with questions regarding retirement benefits
Employee Benefits Coordination
- Manage employee benefits programs, including health, dental, vision, and other offerings
- Coordinate open enrollment processes and employee communications
- Liaise with benefits providers and brokers
- Maintain accurate benefits records and ensure timely updates
- Assist employees with benefits-related questions and claims issues
- Track employee benefit time off
HR Compliance & Recordkeeping
- Maintain employee records in accordance with legal requirements
- Support compliance with labor laws and company policies
- Assist in developing and updating HR policies and procedures
- Managing FMLA, disability and other employee paperwork
Recruiting & Onboarding Support
- Assist with job postings, candidate screening, and interview coordination
- Support hiring managers throughout the recruitment process
- Participation in career fair/expos, interview process
- Facilitate new hire onboarding and orientation
Office Administration Oversight
- Supervise and support administrative office personnel
- Ensure efficient day-to-day office operations
- Assist leadership with general administrative and operational needs
Qualifications
- Bachelor’s degree in Human Resources, or related field (or equivalent experience)
- 3 years of HR experience, preferably in a generalist or administrative role
- Strong knowledge of payroll processing and benefits administration
- Familiarity with 401(k) plan administration and compliance requirements
- Experience supporting recruiting and onboarding processes
- Excellent organizational, communication, and problem-solving skills
- Proficiency in HRIS systems and Microsoft Office Suite
- Ability to handle sensitive information with confidentiality
