Plastic Hand Surgical Associates is a leading reconstructive, hand and cosmetic surgery physician practice. Our day surgery center is fully accredited by the Accreditation Association for Ambulatory Health Care (AAAHC). We provide patients with individualized care in a comfortable, private setting.
We are looking for an experienced Practice Coordinator to join us at our brand-new facility at the Rock Row Medical Campus in Westbrook, ME! Responsibilities include working with our physicians and team of coordinators to schedule patients for surgeries, procedures and appointments.
The successful candidate will have previous similar experience in a medical practice. Excellent customer service and organizational skills are required, in addition to the ability to work as part of a team in a fast paced environment. Ability to maintain patient confidentiality also required.

PRACTICE COORDINATOR
General Responsibility:
Coordination and facilitation of physician schedule to ensure optimal scheduling.
34 - 38 Hours Weekly, 4 days per week, 1 day off (rotating) 8:00AM - 5:00PM
Duties Include
- Answer phone calls regarding scheduling for physicians.
- Scheduling & rescheduling of office appointments to include new patients, follow-ups, and therapy.
- Coordinating of outside appointments - referrals to other physicians
- Scheduling of all surgical procedures at Plastic Hand and local hospitals
- Communicate daily with doctor and P.A. to enter hospital patients into EMR for charge entry.
- Scanning of all correspondence for physician to review. Communicate daily with doctor and P.A. to record hospital visits, hospital consults and any hospital surgeries.
- Other duties as assigned.
EDUCATION/TRAINING/ EXPERIENCE
- High school graduate.
- Prior experience in a medical office.
- Excellent phone and face to face communication skills.
- People skills to facilitate interaction with patients, physicians and staff
- Maintain complete and accurate records – attention to detail.
- Maintain confidentiality of reports and patient information
- Answer questions with tact, discretion and accuracy.
- Prioritize work assignments and daily demands and adjust priorities as circumstances require.
- Experience & knowledge in use of computers.
PHYSICAL REQUIREMENTS:
- Requires very accurate vision - to read print on insurance cards and all written office communications.
- Ability to effectively communicate with patients and staff face-to-face and over variety of communication devices. (I.e.: telephone, fax machine)
- Ability to operate office equipment (computer, copier, fax machine).
- Ability to lift at least 10 pounds (charts) at least once per day. Ability to perform frequent hand/wrist repetitions to perform frequent pinching (Job requires use of both hands).
- Ability to perform frequent reaching/prolonged sitting.
- Stamina to maintain active mobility throughout 2-story building.
