Tasks and Responsibilities
- Facilitate the operations department through administrative support.
- Utilize workflow software to:
- Manage and allocate inventory including plants, containers, other job material.
- Receive containers, plants and replica as deliveries into inventory in Aspire and alert stakeholders when materials arrive.
- Own yearly plant price increases in Aspire.
- Process replacement orders.
- Receive purchase orders.
- Approve daily time-entry in Aspire for installers, ensuring the job times for the ops team is accurate and correcting mistakes.
- Obtain time-entry logs from facilities manager and enter it into Aspire.
- Schedule replacement, rotation and installation jobs in Aspire.
- Understand how to make proposals in Aspire, serve as backup to proposal specialist.
- Manage work tickets in Aspire; preemptively scheduled recurring tickets (rotations) in advance and reschedule recurring work tickets for newly renewed contracts.
- General data entry, maintaining our Aspire database.
- Lead annual year-end inventory on-hand counts.
- Alert Remittance department when installs are completed and need to be invoiced.
- Update service manager on new/updated installations.
- Alert operations manager to any installers who are approaching overtime.
- Print, scan and email documents such as completed work orders.
- Own the email inbox for replacement forms; Transfer any notes in email from technicians onto the work orders. And close the loop by emailing horticulture technicians, alerting them to changes in their accounts such as replacements.
- Conduct monthly and annual physical inventory counts of all materials. Keep up-to-date live plant inventory and collaborate with purchasing on current stock plants.
- Other administrative tasks as assigned.
Skills and Experience
- Strong organizational skills with a sharp eye for detail.
- Comfort with or eagerness to learn Aspire workflow software — you'll use it every day!
- Excellent communication skills for cross-department collaboration.
- Ability to manage multiple priorities and meet deadlines.
- Prior experience in inventory management, operations, or a related field is a plus.
- Proficiency with spreadsheets and basic computer skills.
- Knowledge of plant varieties is a plus.
