Job Summary:
The Repairs and Maintenance Administrator will provide essential support to the Facilities Team by managing repair and maintenance workflows and vendor relations systems across all Baseline Fitness locations. This position plays a critical role in ensuring operational efficiency by maintaining organized processes and developing preventative maintenance plans.
Essential Duties and Responsibilities:
- Repairs and Maintenance Coordination:
Manage work order flow using EMS (Enterprise Management Software), including assigning Preferred Vendors, scheduling repairs, and ensuring timely completion.
Obtain and evaluate bids for repair projects when necessary.
Collaborate with Manager of Facilities Operations; Regional Managers (RMs) and Club Managers (CMs) to ensure repair needs are met efficiently.
- Vendor Relations and Quality Assurance:
Build and maintain strong relationships with vendors to secure preferred pricing and reliable services.
Monitor vendor performance through regular feedback from club managers and field technicians.
Maintain a scorecard for vendors to ensure consistent quality and accountability.
- Preventative Maintenance Oversight:
Develop and manage preventative maintenance agreements for systems such as HVAC, fire alarms, sprinklers, and fitness equipment.
Track and ensure the execution of all preventative maintenance schedules across clubs.
Report delays or issues to the Manager of Facility Operations.
- Administrative Support:
Assist the Facility Dept with administrative tasks such as data entry, reporting, and documentation.
Track and report on operational workflows to ensure visibility and accountability.
Manage all asset and warranty information in EMS.
- Team Support and Collaboration:
Act as a resource for field technicians, offering guidance and coordination to facilitate repair and maintenance activities as needed.
- Organization and Communication:
Keep detailed records of vendor interactions, maintenance schedules, and project progress.
Communicate expectations clearly to internal teams and external vendors to avoid delays or miscommunication.
Work Schedule:
The Repairs and Maintenance Administrator will work a standard schedule, with occasional travel to club locations as needed to support operations and technology projects. Location can be flexible, including remote work environment.

- Prior experience in facilities management and/or basic knowledge of repair workflows and preventative maintenance processes preferred but not required.
