Key Responsibilities
Scheduling & Planning Ownership
- Build and finalize daily, weekly, and forward-looking schedules for crews, drivers, and equipment across a 7-day operation
- Ensure all schedules are complete, accurate, and fully validated prior to release
- Own the schedule lock process; post-release changes must be rare, documented, justified, and approved
- Eliminate duplicate assignments, incorrect equipment placement, and misaligned crew staffing
- Verify crew availability, approved PTO, medical appointments, and known conflicts before scheduling
- Maintain the single source of truth for personnel availability
- Ensure no crew member is scheduled without confirmed availability
- Enforce advance communication requirements with crews and Incident Commanders
- Confirm truck configuration, trailer readiness, and day cab vs. sleeper requirements before placement
- Prevent scheduling of unavailable, unverified, or non-operational assets
- Coordinate with fleet and operations teams to align assets with workload demand
- Anticipate downstream operational impacts before executing schedule changes
- Utilize pre-identified backup personnel based on skills and access levels
- Minimize cross-team reshuffling caused by call-offs or asset issues
- Support planning for jobs with specialized access requirements
- Conduct daily pre-dispatch schedule audits
- Maintain a structured change log documenting what changed, why, when, and by whom
- Identify recurring issues and escalate proactively to leadership
- Support root cause corrective actions and follow-through
- Communicate schedules and approved changes clearly and through designated channels
- Ensure all affected stakeholders are notified before shifts begin
- No undocumented or informal schedule swaps
- Exceptional attention to detail and accuracy
- Proven ability to manage complex schedules in a 7-day operation
- High energy, resilience, and comfort working in a role that requires firmness and tough conversations
- Strong planning, organization, and prioritization skills
