About the Role:
Pivot CPAs is seeking a dependable and detail-oriented Administrative Assistant to support day-to-day office operations and client service activities. This role plays an important part in keeping the firm organized, responsive, and running smoothly by providing administrative and coordination support to our Controller, Tax team, and front office.
The ideal candidate is highly organized, professional, and comfortable handling a variety of administrative tasks in a fast-paced office environment. Prior experience in a professional services or office setting is helpful, but this role is primarily administrative in nature.
Key Responsibilities
- Draft and respond to routine emails, letters, and internal or client correspondence
- Prepare, format, and organize documents, letters, and templates
- Scan, print, copy, and maintain organized digital and physical files
- Document preparation: Format letters, create templates, scan/print/copy.
- Provide administrative support with accounts receivables and follow up on outstanding balances
- Respond to client billing inquiries professionally and escalate when needed
- Assist with the creation of client invoices
- Track outstanding items and follow up as directed, escalating when appropriate
- Assist with onboarding logistics for new hires and clients
- Support the Tax team with client setup, document handling, and administrative coordination
- Provide backup support for the receptionist/front desk as needed
- Assist with general office coordination and administrative projects
Qualifications
- Associate’s degree or higher in Business, Communications, or a related field preferred
- Prior experience in an administrative, office support, or professional services role preferred
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Experience with Dynamics 365 is a plus
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Professional, dependable, and team-oriented
