Role Description The Programs & Operations Director is a part-time, on-site role located in Wexford, PA, responsible for overseeing the day-to-day management of PYCO’s programs and organizational operations. This role plans, coordinates, and executes rehearsals, concerts, and special events, including scheduling, logistics, and communication with students, families, and staff. The Director manages operational processes such as registration, record-keeping, and program administration, while monitoring budgets and resource allocation in collaboration with leadership. The role leads and supports staff and volunteers, ensuring smooth program delivery and a positive participant experience. The Director also handles inquiries, provides responsive customer service to families and partners, and contributes to strategic initiatives that enhance PYCO’s impact and efficiency.
Qualifications
- Demonstrated Operations Management experience, including program coordination, logistics, and process improvement.
- Strong Analytical Skills for tracking program metrics, evaluating operational effectiveness, and supporting data-informed decision-making.
- Proven Team Management abilities, including leading staff and volunteers, fostering collaboration, and supporting a positive workplace culture.
- Experience with Budgeting, financial monitoring, and basic reporting to ensure programs operate within approved resources.
- Excellent Customer Service skills, with the ability to communicate clearly, respond to inquiries, and maintain constructive relationships with families, students, and community partners.
- Outstanding organizational and time-management skills, with attention to detail and the ability to manage multiple priorities.
- Strong written and verbal communication skills, including professional correspondence and clear program documentation.
- Familiarity with youth arts or educational programs, particularly music or performing arts, is highly beneficial.
- Comfort with common office and collaboration software (e.g., email, spreadsheets, word processing, online registration tools).
- Bachelor’s degree in arts administration, business, education, or a related field, or equivalent combination of education and relevant experience.
Employment Information
- 8 hours on Sundays (11:30 am - 7:30 pm) and 16 additional hours on average per week.
- Pay is $32-$36 /hour, commensurate with experience and with potential growth over time. Approximately $40,000–$44,000 annual equivalent.
- Attendance at rehearsals, concerts, summer camps, events, staff meetings, and board meetings is required.
- PYCO rehearsals and concerts usually occur on Sundays from September through early May. Rehearsals take place at the PYCO School of Music in Wexford, while concert venues vary.
- Office work hours outside of rehearsal usually occur 4 or 5 days per week in the morning or early afternoon year-round.
- Days and times of office hours are flexible. Staff meetings and most work will be conducted in the PYCO office facilities at the PYCO School of Music. Some work can be done remotely.
- PYCO typically hosts three week-long day camps during the summer, with varying dates in June and July.
- Position to start immediately with paid training.
