Temporary Associate General Manager

Pittsburgh CLO is a not-for-profit cultural organization dedicated to the preservation, creation and promotion of the American musical theater art form, the furnishing of arts education and providing outreach and meaningful community service opportunities in Western Pennsylvania and throughout the United States.

The Pittsburgh CLO is seeking an energetic, detail driven individual to act as its temporary Associate General Manager. Upcoming productions include The Rocky Horror Show, Yippee Ki Yay, and A Musical Christmas Carol. The Associate General Manager will be one of the principal contacts between the artists and CLO administration. Main responsibilities include management and execution of day-to-day operations for artist services, contract preparation, contact sheet creation, and other administrative duties. This temporary position begins as soon as possible and will last through December 31, 2025.

What you’ll do:

• Assist the General Manager with artist contract preparation, AEA payroll preparation, royalty reporting, and other administrative duties as requested
• Work on-site at The Bitz Opera Factory and the Byham Theater for all rehearsals for A Musical Christmas Carol, acting as the CLO representative and providing support to the creative team
• Attend most performances of A Musical Christmas Carol to assist the Box Office with artist ticketing concerns, front of house, and lobby/merchandise activities
• Act as liaison between CLO administration and the artists for The Rocky Horror Show and Yippee Ki Yay at the Greer Cabaret Theater. Work on-site at the venue as necessary
• Prepare and maintain company contact sheets for productions
• Assist with collection and organization of artists bios, headshots, and fitting sheets
• Complete company credit card reconciliations for the department
• Assist the Human Resources department with collecting onboarding paperwork for company members. Gain familiarity with the Pittsburgh CLO’s code of conduct, including company policies such as non-discrimination and anti-harassment, social media, etc., as well as the company’s concerns reporting process.
• Assist with workers’ compensation claims and company vehicle insurance claims.
• Be on-call for company member emergencies, including arranging and transporting company members for medical care, housing lock-outs, etc
• Coordinate with the Company Manager to prepare company housing. Arrange any necessary services and/or furnishings when required, including hospitality items. Manage housing key distribution/return and emergency response for housing concerns. Coordinate repair and resolution of facilities issues
• Oversee arrival and departure days for all traveling company members. Provide ground transportation to/from the airport when necessary.
• Serve as day-to-day contact for the needs of visiting artists, including coordinating communication, concerns, transportation, and submitting artist reimbursement requests and receipts
• Collaborate with the box office to resolve artist complimentary ticket issues
• Coordinate with the Development and Marketing Departments for press and other special events
• Participate in company meetings such as production meetings, design meetings, special company functions, publicity functions, and/or other meetings as required
• Assist with setup and coordination of 2026 Summer Season and Gallery of Heroes auditions, including script/score preparation
• Assist as needed with communications to agents, artists, and applicable unions, at the direction of the General Manager and/or Executive Producer
• Other duties as assigned to advance and support the mission of the Pittsburgh CLO
