Job Summary

The Operations Manager oversees the administrative functions of PACS’s central office, ensuring efficient day-to-day operations. This role requires strong organizational skills, adaptability, and the ability to manage diverse administrative tasks. The Operations Manager serves as a key liaison between the administrative office and school site staff, facilitating clear communication and coordination across teams.

Executive Support

  • Assist PACS leadership with calendar management, meeting preparation (agendas, materials), and occasional travel arrangements.

Administrative Operations

  • Serve as front desk point person for office visitors and deliveries.
  • Serve as the first point of contact for visitors and incoming calls.
  • Manage incoming/outgoing mail and maintain organized paper and digital records.
  • Communicate announcements to All Staff via bulletin.
  • Coordinate meetings and conference calls, including logistics and materials.
  • Support the creation of reports, presentations, and other documentation.
  • Provide general daily support to PACS staff.
  • Oversee ordering and inventory of office supplies.
  • Liaise with maintenance contractors as needed.

Program Procurement

  • Order and track program supplies in collaboration with Team Managers.
  • Organize boxes at the main office upon delivery.
  • Notify Team Managers of program supply deliveries as they arrive.
  • Manage returns for incorrect/damaged program supply items.

Human Resources Support

  • Coordinate internal hiring processes, including interview scheduling and new hire documentation.
  • Maintain employee documentation folders (paper and electronic).
  • Manage personnel files and ensure all staff have current and required clearances.
  • Review PACS general operating procedures during onboarding.

Donor Acknowledgement & Development Support

  • Receive and log donations in development software.
  • Generate timely donor acknowledgement letters.
  • Support development staff with database operations and reporting.

Secondary Responsibilities

  • Participates in the organizational culture of trauma informed practices.
  • Participates in required training and team and all staff meetings.
  • Other duties as assigned.

Experience/ Education Requirements

  • Minimum of a bachelor’s degree is required.
  • A minimum of 5 years of experience in an administrative assistant and/or operations management role.

Working Conditions/ Physical Demands

  • Travel up to 25% to sites and/or communities where PACS programs operate.
  • Must have a valid PA driver’s license and reliable transportation.
  • This position is primarily at the PACS administrative office.
  • Must be willing to use personal cell phone when working remotely.
  • Perform light work – exerting up to 30 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
