Pittsburg State University is accepting applications for a Financial Operations Specialist in the Facility Operations department. The primary function of the Financial Operations Specialist will primarily process financial transactions, accounting, and some administrative duties for Facility Operations and Planning, Design and Construction. Areas of responsibility include, but are not limited to, Planning, Design, and Construction and all areas under Facility Operations.
Duties and Responsibilities
Financial Transactions and Accounting – 45%
- Maintains and reconciles monthly business procurement card transactions, including submission of reconciliation and supporting documents to Purchasing Office for areas of responsibility
- Prepares and maintains various records for a variety of separate accounts within the area of responsibility
- Prepare monthly and quarterly budget reports
- Produces monthly reports on all accounts as needed and enters and manipulates data and information by creating databases, tables and spreadsheets; prepare worksheets and tables; makes various mathematical computations
- Sort all invoices and gets proper approval to be paid from various accounts and processes for payment
- Processes travel for all staff and students within the area of responsibility
- Tracks all income and expenditures and ensures deposits are made according to PSU policy
Contract Processing – 25%
- Works with Planning, Design, and Construction and Facility Operations to process contracts
- Process purchase orders as needed
- Process all contract payments for construction projects and other contracts
- Request tax exempt certificates for projects
- Monitor and report project spending
Administrative Support – 25%
- Acts as contact for Planning, Design, and Construction and Facility Operations staff on financial processes
- Collect, organize, and compose correspondence; answer phone, respond to email, forward messages, and schedule and confirm appointments
- Maintains confidentiality of records
- Maintains filing systems and utilizes SharePoint, Teams and other Office 365 applications
- Knows and understands functions of the office and general policies and guidelines of the university
- Assist Budget and Finance Manager with Human Resources support (staffing, payroll and personnel actions)
Other – 5%
- Serves on committees as directed
- Performs any other related duties as required or assigned
Education and Experience
Required Education and Experience – Time of Hire
- High school diploma.
- Three years' experience in an office or administrative setting.
Preferred Education and Experience -
- Bachelor’s Degree
- Experience with accounting or purchasing transaction processing
- Experience with financial tracking of construction and/or facility projects
Job Type: Unclassified, Continuing annual
Salary: Grade 6, $17.66 - $20.74 hour
