Duties
- Lead the accounts payable process by verifying invoices, processing payments, and ensuring timely vendor reimbursements using QuickBooks or similar accounting software.
- Oversee billing procedures, including generating invoices, tracking receivables, and resolving billing discrepancies to maintain healthy cash flow.
- Manage front office operations by supervising reception staff, handling multi-line phone systems, and maintaining a professional front desk environment.
- Coordinate schedule management for executives and team members, including calendar organization and appointment setting.
- Supervise administrative tasks such as filing, record keeping, and document management to ensure compliance and easy retrieval of information.
- Organize company events and meetings through event planning expertise to foster team engagement and organizational culture.
- Maintain office supplies inventory and oversee general office maintenance to promote a productive work environment.
- Implement efficient bookkeeping practices to track expenses, budgets, and financial reports accurately.
Experience
- Proven supervisory experience in an office setting with demonstrated leadership in managing teams or departments.
- Extensive experience with bookkeeping and accounting software such as QuickBooks, legal billing software (TimeSolv preferred) or similar platforms.
- Strong background in accounts payable, billing procedures, vendor relations, and financial recordkeeping.
- Prior experience in office management or administrative roles within legal or professional service environments is highly desirable.
- Excellent communication skills with the ability to handle phone etiquette professionally across multi-line phone systems.
- Demonstrated organizational skills with the ability to manage schedules effectively and prioritize tasks efficiently.
