The Role
We are looking for a highly organized Wholesale and Production Coordinator to act
as the right hand to the business owners. This is a support-heavy role that
bridges the gap between our vendors, our retail partners and our internal team.

Key Responsibilities
Production Coordination
- Supplier Communication: You will act as the daily liaison with domestic and international factories regarding timelines and production status.
- PO Management: You will issue and track Purchase Orders (POs) to ensure accuracy in quantity, pricing, and delivery dates.
- WIP Tracking: You will maintain Work-In-Progress (WIP) reports to ensure the intricate details of the Pippa & Julie collection are on schedule.
Sales & Retailer Support
- Retailer Communication: You will communicate with buying and marketing teams at major retailers (e.g., Nordstrom, Dillard's) regarding photo imagery and copy, order confirmations, UPC codes and delivery updates.
- Item Setup: You will handle the detailed "Item Setup" process (entering style data, images, and pricing) into retailer vendor portals.
- Samples: You will organize and ship samples to buyers and vendors appointments, approval and photography.
Office Management
- General Operations: You will help ensure the NYC office runs efficiently. This includes ordering office supplies and keeping the showroom/samples organized.
- Ad-Hoc Support: You'll assist with special projects, administrative tasks, and day-to-day business needs.
The Ideal Candidate
You are organized, articulate, and eager. You have at least 2 years of industry
experience. You understand the importance of a deadline, and you are ready to apply your organizational skills to a business that values them.
- Experience: 2 years of experience in the garment or related-industry (Wholesale, Production, or Merchandising).
- Communication: Strong written and verbal skills are a non-negotiable. You must be comfortable emailing corporate buyers, warehouse personnel and overseas factory-contacts, alike.
- Detail-Oriented: You are the type of person who spots a typo in a PO or notices when a date or on a spreadsheet doesn't look right.
- Technical Skills: Proficiency in Microsoft Excel is required. Experience with PLM systems (On Display) and/or retailer vendor portals is a major plus.
- Attitude: You have a "no task too big or small" mentality. You understand that in a small business, flexibility is key.
