The Project Assistant assists the Leadership in the day to day operations to ensure safe and successful projects.
Essential Functions
- Complete understanding of and support for Company Core Values.
- Coordinate and distribute project-related documents, media, maps, and other information between company leadership, field teams, and clients to support timely and accurate communication.
- Enter and maintain field-condition data in the company’s Geographic Information System (GIS), ensuring all information is complete, accurate, and current.
- Create detailed project maps and conduct job-site research or reconnaissance to identify locations, access points, property information, and other conditions relevant to project planning and execution.
- Use GIS tools to plot, track, and verify project locations, work areas, assets, and completed field activities.
- Review GIS information, field data, maps, and supporting documentation to verify the accuracy of billable work before invoices are submitted to clients.
- Validate project information, including project and construction numbers, service dates, locations, districts, regions, and other required project details.
- Update project statuses within applicable systems to accurately reflect project progress, completion, pending items, and closure.
- Identify missing, incomplete, or inconsistent project information and coordinate with field teams, supervisors, or leadership to obtain corrections and resolve discrepancies.

Salary
$50,100 Annually
Work Environment
This is a fully in-office position. The role involves working at a desk for extended periods, managing project documentation, coordinating with team members, and using computer-based tools (including GIS and spreadsheets). Daily interaction with internal teams is expected.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 7:30 a.m. to 4:30 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 8:00 a.m. to 4:00 p.m. and must work approximately 45 hours each week. Extended hours may be required based on the business need.

Competencies
Technology Skills – Data entry into applications, Microsoft and apple operating systems, etc.
Communication Skills – Creating professional emails, conference calls, field meetings, etc.
Organizational Skills – Execute assigned schedule of tasks and take notes of daily tasks.
Education and Experience
High School diploma. Associates degree preferred.
Proficiency in MS Office suite required; experience with GIS, Google Maps preferred.
Strong organizational skills required.
Demonstrated ability to deliver results while working on multiple projects simultaneously, balancing resources, timing and quality of outcomes is required.
Demonstrated team building skills required.
Extremely detail-oriented with superior communication skills is required.
Must be able to read, write and speak English.
Ability to remain calm in stressful situations.
