Control Clerk HIM Tech III

POSITION SUMMARY: The HIT III position is a skilled role within the department responsible for the functions associated with Deficiency Analysis and Chart Control. This position provides cross-training opportunities across all departmental job functions to ensure operational flexibility and comprehensive knowledge of departmental processes.The Deficiency Analysis/Chart Control Clerk oversees the flow of incomplete medical records through the department, monitors and tracks record deficiencies, and provides updates and reports to Administration and the Medical Staff regarding incomplete and delinquent medical records.

ESSENTIAL FUNCTIONS:

Assists with the assembly, analysis, and abstracting of inpatient, observation, and outpatient surgery records, including deficiency review, and identifies and tags deficiencies within the EHR system

Assists with the analysis of documentation deficiencies in clinic records and identifies and tags provider deficiencies within the EHR system

Prepares and distributes a weekly list of incomplete medical records. Contacts physicians with delinquent medical records on a weekly basis and coordinates with providers as needed to facilitate the timely completion of outstanding documentation.

Reviews records to ensure identified deficiencies have been corrected and maintains updated information in the EHR system to ensure accurate deficiency tracking and reporting.

OTHER RESPONSIBILITIES:

Answer the telephone and assist visitors to the department.

Capable of preparation of legal birth certificates/acts as relief if needed.

Answers requests for information in accordance with departmental policy and state/federal regulations.

Other duties as assigned by the Department Coordinator.

JOB RELATIONSHIP: Works under the direction and supervision of the Department Director and Coordinator.

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

High school education or equivalent.

Knowledge of typing, filing, and office equipment and procedures. Knowledge of medical terminology.

Must possess good communication skills, both oral and written.

Must have good problem-solving and conflict resolution skills.

Must possess organizational skills.

AGE OF THE POPULATION SERVED: No direct patient contact.

PHYSICAL REQUIREMENTS:

• Visual and hearing acuity pertinent to communicating with customers.
• Must be able to lift and carry charts to outside storage facility.
• Spends most of the time sitting and reaching

SCHEDULING AND AVAILABILITY:

• This is a full-time position, 40 hours per week.
• The position requires flexibility, 5 days per week, from 8:30 am to 5 pm.
