Job Summary
Pioneer Valley Cardiology Associates is seeking a detail-oriented and customer-focused Diagnostic Testing Scheduling Coordinator to join our team. In this role, you will serve as the primary point of contact for scheduling diagnostic testing referrals received from external providers. You will coordinate patient appointments, manage incoming orders, maintain accurate patient information within EPIC (EHR), and communicate effectively with patients, providers, and internal staff.
Hours: 7:30am-4:30pm, Monday-Friday with a one hour lunch break daily.
The ideal candidate has healthcare administrative experience, strong organizational skills, familiarity with insurance processes, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Duties to include, but are not limited to are:
- Manage incoming diagnostic testing orders from external providers through EPIC and electronic fax systems.
- Review and prepare orders by verifying: ICD diagnosis codes, test type and appropriateness, patient demographic information, prior authorization requirements, valid order with provider signature, scheduling priority and completeness of all other required documentation.
- Enter and verify patient demographic and insurance information in EPIC.
- Process and prepare electronic faxes for scanning and record retention.
- Transcribe faxed orders accurately into EPIC.
- Monitor and coordinate urgent and ASAP testing requests.
- Review testing schedules daily and collaborate with leadership to address scheduling needs.
- Contact patients to schedule appointments and provide necessary preparation instructions.
- Mail appointment information and testing instructions as needed.
- Communicate with referring provider offices via phone, fax, email, and EPIC.
- Provide coverage for the Diagnostic Testing Front End, including patient check-in and phone support.
- Perform additional duties as assigned by department leadership.
Qualifications
Required
- High school diploma or equivalent.
- Experience in a healthcare, medical office, or human services setting.
- Customer service experience.
- Knowledge of medical insurance processes and terminology.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Ability to manage multiple clerical and administrative tasks effectively.
- Proficiency with computer systems and electronic health records (EHRs).
Preferred
- Experience working with EPIC.
- Scheduling experience in a medical practice or diagnostic testing environment.
- Knowledge of cardiology services and diagnostic testing procedures.
- Experience working with Microsoft Applications
