Definition
Serves as the point of contact for outside scheduling in Diagnostic Testing at Pioneer Valley Cardiology Associates. Prepares orders and schedules appointments for all diagnostic testing from external Providers via EPIC (EHR system) and incoming electronic faxes. Monitors demographic and billing information available in computerized patient registration system. Maintains professional environment and demeanor in the performance role.
Typical Examples of Work Performed
- Assumes primary role for preparing and scheduling testing orders for outside providers. Duties to include, but are not limited to are:
- Manage all incoming orders from external Providers via EPIC and electronic faxes.
- Prepare all orders by reviewing ICD codes, type of test, correct patient information, Provider signature, scheduling priority and that all required information has been received.
- Enter and verify patient demographic and billing information into EPIC based on the information the ordering office provides.
- Manage and prepare electronic faxes to be scanned.
- Transcribe all faxed orders into EPIC.
- Provide management of ASAP orders, which includes reviewing all testing schedules daily and communicating needs with Lead/Manager.
- Call patients to schedule appointments and mail required information.
- Communicate with referring offices via phone, fax, email, or EPIC.
- Provide coverage for Diagnostic Testing Front End, including check-in and phone coverage.
- Other duties as assigned by Diagnostic Testing Front End Lead.
Minimum Qualifications for Employment
High school graduate with experience in healthcare and/or human service setting. Familiarity with the insurance industry is essential. Experience in customer service role is required. Attention to detail and ability to manage multiple clerical tasks effectively is essential.
