Position Summary
The Chief of Staff (CoS) will report directly to the CEO and act as a strategic partner, gatekeeper, and operational accelerator for the leadership of our family-run commercial roofing company. This high-impact, versatile role bridges strategy and execution—translating vision into action, removing bottlenecks, and ensuring alignment across sales, operations, finance, and administration. The CoS will manage special projects, facilitate decision-making, and serve as the CEO’s trusted proxy in a lean, high-trust environment. Key Responsibilities
- Strategic Alignment & Execution: Partner with the CEO to refine annual priorities, build OKRs, and cascade goals across functions. Track progress on growth initiatives (e.g., maintenance contract expansion, federal bid pipeline) and flag risks early.
- Project Leadership: Own cross-functional initiatives such as ERP/CRM implementation, safety program upgrades, or bid-process standardization. Define scopes, timelines, budgets, and accountability to deliver on time and under budget.
- CEO Leverage: Prepare board-level updates, investor communications, and family-owner briefings. Manage the CEO’s calendar, prioritize inbound requests, and draft high-stakes correspondence to free up executive bandwidth.
- Operational Rhythm: Design and facilitate leadership meetings, quarterly reviews, and all-hands sessions. Document decisions, assign follow-ups, and maintain a single source of truth for company initiatives.
- Data & Insights: Build lightweight dashboards (revenue by market segment, project margins, maintenance renewal rates) to inform real-time decisions. Conduct ad-hoc analysis on pricing trends, labor efficiency, or competitor moves.
- Change Management: Lead culture and process transitions as we scale—e.g., formalizing SOPs, introducing performance reviews, or onboarding new department leads—while preserving our family-business ethos.
- Crisis & Risk Coordination: Serve as incident command lead for weather events, supply disruptions, or client escalations. Coordinate rapid response across operations, safety, and client relations.
- External Representation: Occasionally stand in for the CEO at industry associations (NRCA, BOMA), supplier negotiations, or civic engagements to reinforce Pioneer’s 47-year reputation.
Qualifications
- Experience: 7 years in strategy, operations, or consulting roles within construction, roofing, or family-owned businesses. Proven ability to manage $1M projects end-to-end and influence without direct authority.
- Education: Bachelor’s degree in Business, Engineering, or related field; MBA or PMP a plus.
- Technical Skills:
- Mastery of project management tools (Asana, Monday.com, MS Project) and light financial modeling.
- Proficiency in Google Workspace/Microsoft 365; experience with Procore / AccuLynx or similar is preferred.
- Comfort synthesizing complex data into clear executive summaries.
- Leadership Style: Diplomatic yet decisive; able to earn trust at all levels from field crews to C-suite. Exceptional listener who translates ambiguity into action.
