Position Type / Expected Hours of Work:

This is a full-time position that works on average 35-40 hours a week. Additional hours may be required. This position has a standard work week of 8:00am-4:30pm Monday through Friday; schedule may vary based on agency needs at the discretion of the Director of Human Resources and/or CEO.

Summary:

The Employee Experience Specialist is a champion for employee well-being, engagement, and connection at Pioneer Resources. This role is dedicated to supporting employees in all areas by addressing their needs, fostering a positive workplace culture and ensuring every team member feels valued and heard. The Employee Experience Specialist leads the Employee Engagement Committee, coordinates engagement initiatives, and acts as a resource and advocate for staff. This position is also the face of Pioneer Resources, greeting all guests and staff entering the administration building.

Essential Functions:

The essential functions of this position include:

Employee Support & Advocacy

  • Serve as a confidential resource for employees seeking guidance, support, or connection to internal/external resources.
  • Assist employees with navigating work-life challenges, benefits, and wellness programs.
  • Work with HR Talent Specialist to facilitate onboarding and offboarding experiences focused on employee well-being, including performing/coordinating organization-wide exit interviews and new hire orientation.
  • Provide information and referrals for personal, professional and wellness support.

Engagement & Culture

  • Lead the Employee Engagement Committee; organize meetings, set agendas and ensure actionable outcomes for engaging all staff within the organization.
  • Plan and coordinate engagement events, recognition programs and other initiatives that foster inclusion, belonging and fun!
  • Work with, and assist, the Director of Human Resources in planning and executing HR events.
  • Develop and implement programs to enhance employee morale, satisfaction and retention.
  • Gather and report employee feedback, trends and suggestions to the Directors team.

Communication & Connection

  • Maintain open communication channels for employee input, questions and concerns.
  • Share information about engagement opportunities, wellness resources and organizational updates.
  • Collaborate with leadership to enhance the employee experience.

Continuous Improvement

  • Track engagement metrics and recommend improvements.
  • Stay informed on best practices in employee experience and engagement.
  • Participate in administrative staff meetings and other agency events as needed.

Employee & Client Relations

  • Manage the front desk duties by greeting guests in a courteous and engaging manner, processing incoming mail, handling incoming agency phone calls as needed,
  • Assist guests with finding designated destinations and control the access/flow of guests into the administrative office area.
  • Daily review of corporate calendars to prepare meeting spaces in advance of guest/staff arrival (ensure proper set-up to include seating/table arrangements, that coffee and other complimentary items are ready and available, and that any technology needs are met).
  • Coordinate agency fingerprinting needs (to the public and/or new hires as requested).
  • Coordinate and assist with various on-boarding tasks such as names plates, welcome signs, email signature set-up, Blink eBusiness Card set-up, scheduling professional staff photos as required, and maintaining new employee photographs based on various department needs.
  • Provide back-up support for HR Talent Specialist as needed.

Education/Talent Requirements:

  • Individual candidates will be evaluated based on overall education and experience; Associates’ degree in Office Administration, Human Resources, or similar discipline, and/or two years’ experience in a diverse office environment with a history of increasing responsibility and a focus on employee engagement duties preferred.
  • Human Resources certification such as SHRM-CP, SHRM-SCP, PHR, or SPHR a plus.
  • Will be required to successfully complete and pass all initial and future trainings mandated based on license obligations, contracts, and state/federal regulatory authorities.
  • Ability to prioritize both self and others’ workloads with minimal supervision; high degree of self-direction with the ability to work independently to meet deadlines.
  • Solid reasoning skills, including the ability to define problems, collect data, establish facts and draw valid conclusions.
  • Strong computer skills; experience with technology systems.
  • Should be highly organized and motivated to provide a quality engaging customer service to employees, participants, and other agency stakeholders.
  • Consistently greets clients, visitors, and fellow employees in a warm, respectful, and welcoming manner; demonstrates genuine care through attentive body language, friendly tone, and courteous verbal acknowledgment.
  • Creates a positive first impression and fosters a supportive environment by ensuring every interaction reflects kindness, professionalism, and organizational values; strong dedication to the agency’s mission and a positive attitude towards agency culture must be maintained at all times.
  • Ability to work respectfully and courteously with a wide variety of individuals, including those with disabilities.

Work Experience Requirements:

  • Experience in a Human Resources, or similarly confidential role, with proven ability to maintain confidentiality of employment and medical records a plus.
  • Prior experience with employee engagement and experience enhancement roles a plus.
  • Minimum of two years’ experience in a diverse office environment with a history of increasing responsibility preferred.
  • Minimum one year previous experience in a Human Resources or Administration role also preferred.

Travel:

Must be willing and able to travel up to 25% for meetings, trainings, employee events/engagement and conferences. Total travel expected to be less than 10%. Company vehicle is not typically supplied; use of personal vehicle will be required. However, this position is expected to maintain an acceptable driving record and adhere to all company drug-free workplace policies, as specified above, in order to operate a non-DOT agency vehicle as needed/authorized.

Work Environment:

This employee usually works in an office environment but may be required to perform job duties outside of the typical office setting. Moderate noise (i.e. business office with computers, phone, printers, and light foot traffic). Ability to work in a confined area. This position works in close proximity to people. While the majority of working time is spent indoors in a residential environment or office, employees in this position may work outdoors in all seasons for short periods of time, e.g. assisting a resident into a vehicle, taking a resident on an outing, snow removal, etc.


Physical Demands of the Job:

Primarily sedentary work: while performing the duties of this job, the employee is regularly required to, stand, walk, sit, talk, hear, and use hands and fingers to operate a computer, telephone, keyboard, etc. May be required to reach, stoop, or kneel to perform miscellaneous duties. Occasional light lifting up to 50 lbs may be expected, with recurring lifting up to 25 lbs anticipated on a regular basis. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures, transcribing, viewing a computer terminal, extensive reading, and other various visual inspection requirements.
