Description
PURPOSE
To greet and provide information and/or assistance to residents, visitors, guests, and other health care providers, whether by phone or during personal visits. Function as the assistant to the Administrator and as the receptionist for the facility.
PROFESSIONALISM
- Consistently support facility policies, including dress code.
- Deal tactfully with facility management, staff, residents, families, governmental agency representatives, volunteers, and facility visitors.
- Use creativity and initiative.
- Deal honestly and positively with management personnel, facility staff, families, residents, governmental agency representatives, and facility visitors.
- Attend facility inservice training opportunities as appropriate.
- Participate in facility committees as requested.
- Adhere to facility’s Privacy Policy relative to the confidentiality of each resident’s protected health information.
DUTIES
- Answer incoming calls on a multi-line phone, screening all calls, transferring calls, and relaying messages to the appropriate department or person in a timely manner, keeping all inside and outside communication confidential.
- Greets visitors respectfully, directing them to the requested resident rooms.
- Answer questions carefully and helpfully, or, if necessary, refer them to the proper person for answers.
- Screen visitors as necessary. If you do not recognize a visitor, ask their name and who they are visiting. Report any unknown or suspicious individual to a member of the Management Team (Executive Director, Wellness Nurse, Community Liaison), if there is not a member of the Management Team in the facility.
- Assist in monitoring cognitively impaired residents that tend to wander outside, including assisting residents to go out to or come in from the front area. This is especially important during extreme heat, winds, rain, or cold days.
- Prevent lobby area from being cluttered or congested. Attempt to direct visitors and residents to another area, such as the small sitting rooms throughout the community.
- Provide assistance with various clerical tasks for all Departments as requested.
- Provide employment applications to the public as necessary and refer applicants to appropriate Department Head for review. Try to keep current on what positions may be open at a given time.
- Receive, sort, and deliver mail to necessary destinations.
- Faxes as needed.
- Issues paychecks to employees as needed.
- Give folders to new potential resident’s inquiries.
- Organize and maintain files at desk
- Assist the Administrator in various projects.
- Assist Business Office as requested
- Assist Admissions Office as needed (e.g., taking inquiries, facility tours, marketing projects, and completing admission paper work).
- Assist in social media post as requested
- Be available to help out with other duties as requested by staff.
Back-up for:
- Discharging and loading of resident's charts
DRESS CODE
- Employees shall take pride in their appearance and shall adhere to the community dress code
- Report to work looking clean and professional. Business casual is appropriate dress.

Requirements
QUALIFICATIONS
- High school diploma or GED preferred. Previous clerical experience desired.
- Ability to use routine office computer programs (e.g., Microsoft Word, Excel).
- Must possess good organizational skills and telephone etiquette.
- Must have ability to work independently and schedule own work in order to accomplish the required work load.
- Willingness to learn new skills related to various assignments and/or tasks.
- Ability to concentrate is most important in this position due to the location of the work station and the interruptions that occur.
Knowledge
Must have sufficient Knowledge of English, spelling and arithmetic to complete reports and perform various related clerical tasks.

Physical demands
Requires a moderate amount of physical activity; walking in the building, bending and stretching, etc. Most duties require sitting.
